Hi I am trying new outlook. I have 3 quicksteps from classic outlook that I use to triage my inbox: Move to a folder called processed Flag and Move to a folder called processed delete Is there a way to see all three in the ribbon? New Outlook limits features to Microsoft Exchange/Outlook.com/Hotmail.com email accounts which is bad for my long time business POP account. Since converting I discovered the below limited Support for POP. Can't use: -Rules -Pins -Categorize The Flags feature — I only see flagged email older than 2 weeks). I have tried manually using "isflagged:true" and the default Flagged Saved Search. I need to mark important emails in some way. My rules in Outlook are grayed out again. The part of manual execution. And this status has been remained for at least 3 days. I encountered this circumstance before like few months ago and here we go again. My account is personal account (Outlook.com). When I use Microsoft Outlook for Mac, Version 16.101 (25091314), to see my rules and wanna execute one of the rules, it's greyed out, a.k.a, cannot be executed. When I open a browser, say Edge, (Version 140.0.3485.66 (Official build) (arm64)), the same status as well. My findings so far: All of rules that will categorize email cannot be executed manually now. Rules that will delete emails can be executed manually. It's manual execution that won't work. Coming emails will still be categorized by the rules automatically. Any clue how to solve this? Hi. I'm using Office version 2508, and my default signature is built using a table with our company logo and my contact information (see attached). This typically works fine, but occasionally when I get a reply from someone my signature is much larger than it should be. In the attached you'll see how it normally looks at the top, and then how it looks when this contact replied to me. Good afternoon, I help manage an organization for Special Needs Children and Adults. We sponsor adapted Sports activities as a way to build relationships, teach teamwork, and self-esteem. I set up a separate email for the group from which I am attempting to send group emails. These emails go to anywhere from 50 to 250 users. I manage the list outside of Outlook: I create character strings of email addresses using excel and paste them into the BCC: line in Outlook. I am using the new Outlook. Recently, that user (an outlook.com user) is blocked frequently and I have to go in and revalidate it. The message I get says I am violating the usage rules, but it does not tell me how. I was going to look at a CRM system, but that adds a ton of baggage: all is want to do is send emails. Does anyone have any ideas for how to accomplish what I am trying to do? I have names and addresses in an excel file and if I knew how I could do a mass import into Outlook. I would do that if it would fix the problem. I would appreciate any input. I have a copy of the datafile from Outlook (connected to a Google mail account with IMAP setup) I then installed a new SSD harddisk on the machine and installed Windows 10 from scratch ! UNFORTUNATELY the LOCAL user on the old Windows 10 setup was named "toves" and I the new setup I named the local user "Tove Sørensen" I think that's why Outlook in the new setup WONT run on the copy from BEFORE installing the new SSD harddisk. A message saying something like - translated from DANISH: Outlook can't run because the datafile is for another mail account ! I'm using outlook with Office 365 and I'm getting close to my mailbox limit. Currently I have over 68k emails, some dating bask to 2012 in my main box which is over 90% of my storage capacity. I don't want to mass delete emails, but happy to 'remove' emails prior to 2025 form my daily inbox and even move them to file storage. I am experiencing an issue with Outlook inbox rules not syncing across devices, and I'm trying to figure out if I'm missing out a key configuration or limitation. This is the situation : I have several inbox rules ( eg move messages from specific senders to folders, auto-forward certain emails) on my desktop Outlook client ( Windows, Microsoft 365 subscription). They work perfectly on that machine. But when I open Outlook on the web (OWA) or on my mobile devices, those rules don't show up completely or at times they don't run consistently... Here's what I've checked ; 1. I'm using a Microsoft 365 Business standard account ( exchange online) 2. Rules were created in Outlook desktop app ( File > Manage Rules & Alerts) Cached Exchange Mode is enabled. The rules are client-only according to the UI, but I thought some rules could be server-side if basic enough? On OWA, when I go to Settings > Mail > Rules, it's either empty or doesn't show all the rules I created on desktop. If I create rules in the desktop app shouldn't they sync to other clients ( OWA, mobile), or are they local by default ? What is the difference between client-side and server-side rules in terms of syncing and functionality ?Solved354Views5likes5CommentsOffice 2021 Outlook profile email account settings - server names have appended a "." to the name.
Over the past several years, a recurring issue arises where for some unknown reason, the email account settings where I define the POP server (pop3.comcast.net), gets an extra "." added to the name (i.e. pop3.comcast.net.) This seems to cause Xfinity's email servers to perceive my IP address as a SPAM source and they in turn block my address from using their SMTP server for outbound mail. Interestingly, they continue to let me retrieve incoming via POP but not send via SMTP. The reason I say this is recurring is when it's happened in the past, it was easy enough to just delete that superfluous dot at the end of the name and after 24 hours, Xfinity would unblock my IP and all would be good again. Might not happen again for a year but when it does, I repeat these steps. Earlier this week however when it did occur again, there's a difference. Now when I delete that extra dot, Outlook is refusing to save the entry with it missing and so Outlook on my PC is annoying Xfinity continuously and the blocks are lasting longer and longer from them. I hope they don't become permanent! So that's how this is affecting me, and this brings me to my TWO questions: Why does this keep happening? How can I fix this in Outlook so the proper server names are presented to Xfinity? I did an extensive investigation and repair exercise using CoPilot's AI guidance. Many, many hours of try this, try that, all to no avail. It basically confirmed that the problem wasn't in my configuration and efforts to override what it thought Outlook was doing that might be causing the append, all failed. It wanted me to open a case with Microsoft but as "just" a consumer, there's no way to do so. I did provide feedback within Outlook but that's generated nothing so far.
