Microsoft Bookings Use Cases/Scenarios for large corporate organizations.
Dear all, What can be the use cases/ scenarios for leveraging MS Bookings in LARGE CORPORATE ORGANIZATIONS. Let this trail be a reference thread for use cases/ scenarios. I am jotting down few ideas. Please add your views and ideas. We can run targeted adoption campaigns based on these ideas. 1. Sales/Pre-sales employees - to manage appointment with customers 2. For all employees - If they want to conduct knowledge sharing sessions 3. L&D, Training teams - To manage appointments for the programs 4. For Coach - To schedule their coaching sessions 5. For HRBPs - To make the employees aware of their available slots Sally_Richardson ClaireThirlwall Willem_Veenstra ainemeehan joeybaruchamdig Geoffrey McNaughton Gabriel_Valdez213KViews1like2CommentsAllowing multiple bookings for the same time in Microsoft Bookings
Hi, I am trying to setup a bookings calendar that allows multiple people to book the same service at the same time. In this instance it is First Aid Training for a specific day without time increments. To simplify this question. Is it possible to setup a service to allow multiple people book in for a 09:00am service on the same day? It appears once the first person books this service, it blocks out the time slot which I understand why it would do this. If not, any suggestion on how to do this? Thank for your suggestions.Solved93KViews4likes30CommentsHow to set up a booking with multiple staff?
Our office just switched to Office 365. I'm used to using calendar/booking software like Calendly etc. I find it easier to send people a booking link than to try to coordinate between multiple people. I need to send a booking link to an external customer but I need the available times to book to be where there is overlap between multiple staff members, and for when the booking is made, it alerts these multiple staff. For instance, I am trying to set up a meeting with an external client, my boss, and myself. I want the external client to be able to only book times that my boss and I are both available, and when they book I want it to include both my boss and myself in the booking. I tried to set up a booking and turned off the "choose staff" option, but instead of booking both of us, it only booked one of us. Is it possible to do what I want to do in the MS booking app?90KViews10likes35CommentsUsing bookings for events at specific times
HI, Bookings might not be the right tool for this task but I want to check. I plan to run small online webinars for colleagues and I'd like to list the events so they can book an event to suit them. I need to limit the number, so a normal meeting invite doesn't work (unless someone has a useful work around for that?) Some events will repeat, so I'd set a few occasions for some. Is there an easy way to set the time/s as a service, or do I need to set very limited working hours and block out my diary for all but the times I want to hold the event? Or is there another simple tool I could use? I know I could create free Eventbrite listings but I don't want them to be openly available or put in as much detail as a listing site would need. Thank you in advance69KViews4likes32CommentsGroup Bookings in MS Bookings
I have a requirement to create a sign-up sheet for an event which comprises several different time slots, and for each slot there is a max of 50 attendees. I have used the Bookings app in the past for event sign-ups, although not with so many attendees. According to https://support.office.com/en-us/article/define-your-service-offerings-in-microsoft-bookings-4a1c391e-524f-48e0-bef8-185df3a9634b I can do group bookings by setting the "Maximum number of attendees per event" for a service. However, when I enter any number in the Maximum Attendees field and select "Save", that number is not retained - i.e. when I revisit that Service page, the field is empty, and I am unable to make more than one booking for that Service at any one time. Where am I going wrong?62KViews3likes52CommentsRemove "Book time to meet with me" from new mail
Hello, I tested Bookings once, now I have "Book time to meet with me" in every new mail. How do I remove it ? My Microsoft Bookings is currently disabled and I removed Booking for my profile (licence removed / Booking deleted). The link is also dead: This link is not valid. Please contact the organizer to check if the URL is correct. Signature options in Outlook client and OWA are blank and not set. I googled alot and also asked ChatGPT but couldnt find it out. How can I remove it ?Solved47KViews0likes12CommentsBookings URL
Hello, I have two questions related to the bookings published page URL. 1. I changed my business name and the bookings URL is still showing the old/original business name. Is there a way to update this? 2. Is there a way to create separate Bookings URLs for each staff member? Currently we have a business page set up and services with available staff. For our business use, we would like to be able to share links that would take customers to a specific staff members bookings page. We recently added a person to our team and I am trying to give them access to our booking calendar. I am an admin on the account and have turned on two product licenses for her - Office 365 Enterprise E3 and Business Apps (Free). We can click the bookings icon in her account but when we select the calendar we want to add we get a message stating "We can't connect to the booking calendar right now. Please try again later." We have been trying to add the calendar for three days and keep getting the same error message. As an admin, I have already added her as a team member to the staff section of the calendar, however when I try to add her hours in "availability" or list her as an administrator vs. viewer, the system says "Your request can't be completed right now. Please try again later." when I try to save. I have been getting this error message for three days, as well. Is there a reason the Microsoft system is not allowing us to make changes or add this booking calendar to her account?Solved42KViews0likes10CommentsDisable the staff selection option -Anyone-
Hi anyone knows if there's a possibility in Microsoft Bookings to make the option to select staff mandatory and|or disable the option to select anyone? I want to avoid that costumers make an appointment with all staff that's available at a certain point. This is what happens when you don't select a certain staff member but leave the option to -Anyone-. The system creates multiple appointments with all staff available during the selected time slot. Thanks for your help Kind regards -Jo42KViews5likes21CommentsHow to manage a bookings site after the owner leaves the organization
I have done a bit of digging and cannot seem to find this anywhere, so I thought I would try here. I am looking to find out if there is a way to easily manage Bookings sites after a sole owner leaves the organization. I understand that these sites all have back-end mailboxes but I cannot find an easy way to add an owner through powershell or through the Bookings pages even as a Global Admin. Any help or insight would be great!39KViews4likes14Commentsunable to change or set admin role for a staff member in Microsoft Bookings
Hi to all, We are having difficulty setting up Microsoft Bookings. We added staff members and everything works except for one member: we added the staff member wit the role of Administrator (in Bookings) and it changed to Guest. It can't be changed to Administrator. Though, for the other members, everything worked as expected: so we now have two users with the same exact product (Microsoft Business Essentials), same exact roles set up in the 365 Admin panel, but one of them can be made Administrator in Bookings, and the other not so. A third member, with a Business Premium account, is also set up to be an Administrator in Bookings without fault. Removing and re-adding the staff member didn't change this behavior. How can we resolve this? Is this a permissions/roles issue on a higher level? Can settings/rights for Bookings be tweaked elsewhere? We have been looking extensively for answers on the web, but didn't come across any lead so far yet. We don't have any setup for using powershell (yet, because of a non-windows environment), so hopefully this can be resolved via the Admin center somehow? Any thoughts/help would be very welcome... Thanks in advance.38KViews1like15CommentsUsing Bookings with Shared Calendars
We just switched over to Office 365 at work and I want to understand if Microsoft Bookings will be able to work for us or not. We are a charity that runs nature education programs. I have always used multiple shared calendars in order to schedule my staff for classroom programs (two 1-hour programs on separate days), workshops (1-hour programs) and outdoor programs (full day hikes and snowshoes). I have one shared calendar for classroom/workshop programs and one for outdoor programs. Can Bookings book into the shared calendar rather than personal staff calendars? We have full time staff but also contract guides that lead outdoor programs. Staffing is incredibly complex and it would be better if I could assign staff to what gets booked into the shared calendar. Does anyone know if this is possible? Furthermore, we usually have one teacher booking programs for multiple classes. Can they do that all at once or would they have to do 6 different bookings for 6 different classes? Thanks for reading!38KViews0likes8CommentsIntegration of personal calendar with bookings calendar
A fundamental requirement to make the app usable is to integrate the user's own 365 calendar with the bookings calendar. Firstly I see this link suggesting that time can be blocked out when the personal calendar is full: https://support.office.com/en-us/article/Sync-staff-s-personal-calendar-with-Microsoft-Bookings-23ee9b4c-0241-40ff-b663-67a309c378f8 Unfortunately, the tick-box option referred to here isn't present on my roll-out. Why is this? Secondly, I'd like to be able to see the booking in the user's own diary - or, at least, to be able to see the Bookings calendar as a calendar set in outlook so I can overlay the two. Is there an option to do this?Solved37KViews0likes44CommentsBookings Calendar and Reply Address
I have begun to evaluate Bookings and it looks really promising. However, I have a question: when a customer receives a confirmation email, they can click on the "Manage my booking" square. Fine. However, if they hit 'Reply' and try to mail back to the (calendar's) email address from which the confirmation mail originated (maybe not correct, but completely understandable user behaviour) they get a message to say that their email has bounced. Not a good user experience. Within the Bookings configuration/settings, there is an option to "Send customer replies to" [insert email address here] but replies don't make it back to that address. Am I doing something wrong? Any suggestions from the community please?37KViews0likes41CommentsIntegration of bookings with Flow and PowerApps
Is it possible to use bookings functionality in a PowerApp. I am looking for a solution that will support the booking of resources in an online examination room, asking the person to do a reservation for each student is too time consuming, is there a way to using the bookings app. to define the resource capacity and availability but use an app to create the (multiple) reservations? There does not seem to be a connector in Flow.Solved36KViews2likes27CommentsDisable auto-scroll in calendar view
Can you disable autoscroll in calendar view? What a horrible feature. Every time the mouse cursor is near the top or bottom of the page, it auto-scrolls all the way up or all the way down. It seems to only happen when selecting a calendar item, and if you have "view-only" access to the calendar, you cannot click in the empty space of the calendar to unselect items because you cannot create new items, so auto-scroll is always active. What other Microsoft application has auto-scroll like this? If it can't be a toggled option, it should just be removed entirely.35KViews27likes45CommentsScheduled appointment email notification
I have assigned one employee from my Staff for one service that we are offering, but when a customer makes an appointment, only customer recives a email notification, but i want employee to also get a notification by email. I have figured out that only "Guest" staff get email notif., but if i set them as Viewer or Administrator, then only customer is getting that notif. Is there i can fix that so everybody get email notifications (employee and customers)?33KViews0likes29Comments
