Hello everyone, We are experiencing an issue with Microsoft Bookings. Our setup allows external customers to book appointments via the published booking link on our website. However, we have noticed that staff members can still be double-booked, even when their Outlook calendars show them as “Busy.” Here’s what we have already done to try to resolve the issue: Ensured that the option “Events on Office calendar affect availability” is enabled for all staff in Bookings. Verified that in Outlook, the staff calendars have appointments marked as “Busy” to reflect their availability. Shared staff calendars with the Bookings account and set default permissions to “When I’m busy”. Checked that the booking page settings are set to respect staff availability. Despite these steps, the system still allows bookings to be made during times when staff are busy. Our staff mailboxes are hybrid (both on-premises and in Exchange Online), and we are running a hybrid setup in general. We are wondering if anyone else has experienced this issue and if there are recommended solutions or workarounds. Hi! I'm trying to create a booking system for a 1-user database. I used my institution's general email account, which is not associated with a particular staff member. I created the shared Bookings page. I added the general email account to it as a staff member. I made myself unavailable for the Bookings page, so that all bookings will go to the general account. However, I am not able to sync the manually added calendar events with Microsoft Bookings. In other words, if I manually add a booking to the general account's calendar, it doesn't show on Microsoft Bookings that the slot has been taken. I believe the solution is to select 'Events on Office calendar affect availability' under Edit Staff. However, the option is greyed out. I asked my institution's IT department, but they were unfamiliar with this. As it is a shared mail box, they don't think it has an admin. My questions are, is it possible to sync a calendar with Bookings for a general account without an admin? If yes, how do you do it? I hope this makes sense. Please let me know if anything is unclear and I will try to explain more. Is it possible to allow the person booking a MS Bookings meeting to add additional emails as "guests"? For example, someone could add their colleagues who would also like to join the product demo that they're booking. Calendly has this by default and you can add up to 10 additional emails. Hello, I tested Bookings once, now I have "Book time to meet with me" in every new mail. How do I remove it ? My Microsoft Bookings is currently disabled and I removed Booking for my profile (licence removed / Booking deleted). The link is also dead: This link is not valid. Please contact the organizer to check if the URL is correct. Signature options in Outlook client and OWA are blank and not set. I googled alot and also asked ChatGPT but couldnt find it out. We definitely need to control how many people are booked into a service. It would be ideal if a waitlist option could be added to services. Then if a session is full, potential attendees can put themselves on the waitlist. If the team decides enough staff are free to facilitate a larger session, then they can add people from the waitlist into the session. Currently relying on customers to reach out if they wanted a particular session that was full, however, they a) can't even see that a session is there but full (calendar just shows blank); and b) we don't necessarily want to advertise that you can contact to find out about full sessions as then the team would likely have many emails asking for training outside of advertised times....16Views0likes0CommentsServices that don't automatically assign a staff member
We have several services that we run - but want the ability to manually assign a staff member after people have booked in. Having a staff member permanently assigned to a service doesn't usually work. Having Bookings randomly pick someone is also not a good solution. Ideal scenario - all selected staff receive booking notification emails (they are also all then aware of how busy the services are), then one of those staff volunteer and assigns themselves to the service. Seeing or downloading the data from custom questions is a total pain. The preview tile for a service would be useful if we can see those answers! For someone running a session, I want them to quickly be able to glance at a booking and see: How many attendees How many attendees have selected a particular answer e.g. if we run a service but need to know how many people want an apple, and how many want an orange, it would be so useful to quickly see Apple = 3, Orange = 2. Then the staff member can easily see what they need to prepare for. Currently someone has to find the booking, open the booking, look at each person who has booked in and read their answers... A very simple quick fix would even be to include this summary in the booking notification the staff member receives!! As a customer - they receive the answers to their question/s, but not the staff member running the service. Its a bit odd.10Views0likes0Comments
