Being an event organizer
Being an event organizer can be rewarding and stressful! Here are some pro tips I've learned from producing many events across my career and especially since March, 2020: 1. Exhale - No one knows what your show is supposed to be but you. The calmer you can stay while you are delivering your content the better for you, your technical team and your talent (presenters). 2. Rehearse - If you are producing an executive town hall or more formal event there is no replacement for bringing everyone together to review the "show flow" or what is going to happen when. Knowledge and practice is power. 3. Digital is different - Having more engaging content and keeping your audience's eyes moving is an important part of ensuring you don't have drop off during the course of your event. Shorter sessions, more breaks, switching content views are all tools you can use to keep things interesting. After an individual registers for a public Teams webinar, they are given a sharing suggestion - a link to the registration page + social media links. Is there an option to remove these? Of course the webinar link is public, but in some cases people may prefer to not overshare it - they are targeting certain individuals to attend. See picture for what I'd like to turn off (red box is the section I'd like to see disappear): If there is an option for a registration code to be able to register, that would be a reasonable alternative to help limit it to invited individuals. Hello, we are eager to implement the Webinar Functionality in our Company and at the moment I am exploring the possibilities and found something that bugs me. In our small Webinars we mostly have a maximum size of 8 allowed participants, is there a possibility to block the registration when the system notices that I reached the allowed limit and inform the User that the Webinar is full already? Probably there is not but does someone know if this is a planned feature? Technical readiness is essential to a great event. It can seem daunting but a virtual event can be something as simple as a training you provide to employees via a Teams meeting with your webcam or something more complex like a leadership town hall. You can find all the information you need to get ready in our playbook but this post is for "truth from the trenches". What are tips you have for other event organizers, producers or IT folks who are new to supporting events? Mine are: 1. Triple check your desktop setup - turn off notifications, finish updates, close unnecessary apps 2. Create a recording of any live demos for backup or to simply "roll" when the time is right 3. Always, always be friends with your tenant admin in IT if this isn't you. Make a point to have a relationship with these folks so you can go over details or get help if needed. Hi, Is there a way to disable the email notification response for when attendees accept/decline the townhall meeting? I know I can disable the email entirely but this option prevents me from adding a distribution list or attendees directly into the townhall meeting setup in teams. Is adding a link to the townhall meeting and putting it in a seperate outlook calendar meeting the only option to not get the response from the meetings? Why is this not disabled by default? Townhall meetings are meant for large numbers of attendees. Nobody wants 800+ notification emails in their inbox. Trying to set up a new webinar but I'm not able to edit the bio of an internal presenter. I'm organizer and presenter but I can't edit the bio because the save button is greyed out. I have already tried it with Teams for Windows, Teams for Mac and also in the browser. The same result everywhere, the button is greyed out. In contrast, I can edit and save the theming. Duplicating an older webinar (where the correct bio is already included) cannot be saved either. Error message "Something went wrong, and we need to try again." I think this is a "new" Teams related issue but I'm not sure. Any idea. When publishing Town Hall events, is there some magical switch that needs to be thrown to prevent all of the meeting replies from being sent back to the publisher? Not finding much on this anywhere. I had a person publish an event to 1500 people (via distribution list) to ensure the event was on calendars, and received hundreds of responses. It seems like that would/should default to no responses, but those features are unavailable in the Teams calendar (only in Outlook).
