how to share excel online

Copper Contributor

Hello,

I have an Excel spreadsheet where I retrieve real-time stock data and applied filters. For instance, if the stock price drops below a specified value or percentage, I want to highlight that in the data.

I've also generated a summary using a pivot table based on this Excel sheet, and I intend to share it with my team.

Requirements:

1. I prefer that my team can view the pivot table only without access to the underlying data sheet.
2. I aim to publish this online to streamline sharing without distributing the file.

I've attached a sample Excel file.

Please provide guidance.

Thank you.

To share an Excel workbook online with your team while allowing them to view the pivot table only and restricting access to the underlying data sheet, you can use OneDrive or SharePoint. Here's a step-by-step guide:

Using OneDrive:

  1. Save Your Excel Workbook to OneDrive:
    • Upload your Excel workbook to your OneDrive account.
  2. Share the Workbook:
    • Open the workbook in Excel Online (in OneDrive).
    • Click on the "Share" button in the top right corner.
    • Enter the email addresses of your team members.
    • Choose the permission level for each user (view-only).
  3. Restrict Access to the Data Sheet:
    • Open your Excel workbook in Excel Online.
    • Click on the "View" tab.
    • Click on "Workbook Settings" and choose "Protect Workbook."
    • Set a password to protect the structure of the workbook. This will prevent users from unprotecting sheets without the password.
  4. Create a Shareable Link:
    • Click on the "Share" button again.
    • Choose "Anyone with the link" and set the link settings to "View."
    • Copy the link and share it with your team.

Using SharePoint:

  1. Upload Workbook to SharePoint:
    • Upload your Excel workbook to a SharePoint document library.
  2. Share the Workbook:
    • Click on the "Share" button in SharePoint.
    • Enter the email addresses of your team members.
    • Set the permission level to "View" for those you want to only view the pivot table.
  3. Restrict Access to the Data Sheet:
    • Open your Excel workbook in Excel Online.
    • Follow the same steps as mentioned for OneDrive to protect the workbook structure and set a password.
  4. Share the SharePoint Link:
    • Copy the link from the SharePoint document library and share it with your team.

By following these steps, your team will be able to view the pivot table online without access to the underlying data sheet. The workbook structure protection will add an extra layer of security to prevent changes to the data sheet.
