Easily assign person(s) to subtasks
Hi all, I'm wondering if there's an option to easily assign person(s) to all subtasks of a summary task at one go. In our situation, we would like to assign all these subtasks of a summary task to the same person(s). However, at the moment is seems you have to assign the subtasks individually, which is quite labour intensive. Does anyone of you know a good workaround? Thanks in advance for your response, Jasper4Views0likes0CommentsBulk import of Tasks in the Premium Planner [not supported] - Any workarounds?
I am trying to simply bulk add tasks to a Planner Project. They have removed the Excel import capability, but you can export. If you cannot use to restore then much efficiency is lost. You can no longer import a .mpp file. Lastly, I just found out through many attempts that the Power Automate to add tasks to premium plan projects is also not supported. Power Automate cannot create records in the msdyn_projecttask table. The Dataverse plugin ProjectServiceCore explicitly blocks this. You’ll always get the error: "You cannot directly do 'Create' operation to 'msdyn_projecttask'. Try editing it through the Resource editing UI via Project." This restriction applies even if you're an admin and have full Dataverse access. This is very disappointing. This is a basic capability in numerous tools for fractions of the cost. I have been using MS Project since they were on 3.5" floppies, and this is almost a deal breaker. I lobbied for this product for my GCC thinking what better tool to leverage all the Microsoft tools we already use...Teams, Outlook, O365, etc. and to now have a fully integrated, more collaborative PM tool (Planner) sounded perfect. There are already many other limitations and now this one.122Views1like2CommentsTask History, exact date/time instead of relative?
Looking at Task History in premium plan tasks, all the changes are showing in relative periods (a month ago, several hours ago, etc.) instead of the actual date/time. Is there a way to change this? And was that a change itself? I thought it used to show me the actual date/time of a change, but maybe I'm remembering incorrectly.70Views0likes1CommentPerformance Issues
I'm experiencing significant lag and performance issues using Planner premium in both Edge and Teams. I'm on a brand new i7 PC with 64GB of RAM and 1GB fiber, so I know it's not my hardware... Examples of stalling: When creating tasks in Grid view, after adding a 3rd or 4th task, when I tab off of the Title field it will revert back to the default text, ignoring my input. This breaks my flow state and severely slows me down. When assigning tasks, I'll often have someone selected and hit Enter but the UX is still rendering some random person that isn't included in the permission group, then prompting me to add them. It's soooo slow. Ultimately, I've just procured a premium license, was excited to try the features, thought it would fit my use case, rolled it out to dozens of executives, and now have egg on my face for a horrible user experience. What gives?125Views1like3CommentsMicrosoft where is the love for my Custom/non-default environment?
Like a lot of customers I have a custom environment for planner. I feel like a second class citizen when so many updates are for the default environment. Has anyone heard any news about advancements in a non-default environment. Specifically a way to get all tasks in one place for all resources?46Views4likes0CommentsMultiple plan owners
In Plan details there is not the option to add multiple owners for same plan. This option is available in MS Teams. I have noticed that when you are not the owner of a plan, you cannot copy that plan. Our group has created a task plan template that we use to make multiple plans for each year and attach the plans to coordinating teams. For this template, we could really use multiple owners even though it is attached to a team with multiple owners82Views0likes1CommentAdding existing groups to plan
I have advanced planner and have made a plan from another plan and am the owner. I am trying to attach an existing group (team) that is in our teams that I did not create, but am an owner. I do not see that team when I try to find in existing groups list89Views0likes3CommentsFeature Request: Enhanced Text Field Support in Custom Fields for Premium Plans
Hello Microsoft Planner Team, As an Engineering Manager at LinkedIn, I've recently started using Microsoft Planner Premium for my engineering team's sprint management. While the custom fields feature has been incredibly useful, I've encountered significant limitations with the "Text" field type that are impacting our workflow. Current Issue: I created a custom field called "Scrum Notes" to capture detailed sprint-related information. However, when I enter multi-line text, it automatically converts to a single line, making it difficult to read and organize structured notes. Feature Requests: I would like to request three enhancements for custom fields with "Text" type: Multi-line Text Support: Enable newline characters (\n) to be preserved when entering text in custom fields. Currently, all text is collapsed into a single line, which severely limits readability for longer notes. Expandable Text Preview: Display up to 300 characters in the Grid view with an "expand" or "show more" option when clicked. This would allow teams to see a preview without cluttering the view, while still being able to access the full content when needed. Rich Text Formatting: Add support for basic text formatting (bold, italics, bullet points) within text-type custom fields, similar to the formatting available in the Comments section. This would significantly improve the organization and readability of notes, especially for technical documentation like scrum notes, technical decisions, or implementation details. Use Case: Our team uses the "Scrum Notes" field to document: Sprint planning decisions Technical implementation notes Blockers and dependencies Action items from standups Without multi-line and formatting support, these notes become difficult to parse, forcing us to use external documentation tools, which defeats the purpose of having centralized task information in Planner. Impact: These enhancements would make Microsoft Planner significantly more powerful for engineering teams and other technical users who need to capture detailed, structured information directly within their project management tool. I'd appreciate any feedback from the community on whether others are experiencing similar limitations, and if there are any workarounds currently available. I've also submitted this feedback through the in-app feedback mechanism. Thank you for considering this enhancement!41Views0likes0CommentsNested Parent/Subtasks in Board View
I recently upgraded to planner and project plan 5 (planner premium), with one of my most anticipated features being subtasks and dependencies. My group usually uses board view to look at our tasks, but if I make a parent/subtask relationship in the grid view, the parent task is not shown in the board view. I know most people use one plan for one specific project, but my tech impaired supervisors need one place to look at all projects, so I need to have everything in one plan to reduce difficulties in navigating planner and finding tasks. I am testing out using portfolios for this reason as well. I am hoping someone else has the same wish and this can become an action item in the future.64Views0likes0CommentsAuto mark done for planner task when flagged email has been marked complete
Current Behavior: When an email in Outlook is flagged for follow-up, a corresponding task is created in Planner under the “Flagged Email” section. However, if the user marks the email as Complete in Outlook, the related Planner task remains in the Not Started status. Impact: This creates inefficiency and confusion in task management. Users must manually mark the Planner task as completed even though the email was already marked complete, resulting in duplicate effort. Proposed Solution: Automatically update the Planner task status to Completed when the associated flagged email in Outlook is marked as complete.34Views0likes0CommentsPlanner Notifications Showing as Sent by Me
Our employees are receiving Planner notifications that appear to come directly from me, the CIO, even though I did not initiate or assign those tasks. This creates confusion, as staff believe I am personally assigning work or flagging overdue items. Questions: Is there a way to revert to the previous “email address removed for privacy reasons” sender behavior? If not, can this be logged as a design limitation for consideration (e.g., toggle or admin control)? What best practices are recommended to prevent confusion in the meantime? This behavior feels misleading and disruptive, so I want to ensure it’s documented as a design concern rather than treated as a support closure. The workaround I was given by Microsoft support was to pay for another E3 license for each of our supervisors/managers so that they can monitor that the emails are initiated by them. Our company cannot afford these licenses--we support intellectually challenged and disabled children and adults and we know that our federal funds have ended and the federal government does not believe in supporting our clients. Thank you for any advice.23Views0likes0Comments- 34Views1like0Comments
"Show on card" previews for attachments (pictures) not showing up
Hi Our planner plans across the company now do not show the preview for a picture, excel sheet, or powerpoint when you select "show on card" under the attachments section. It just gives a generic symbol or image of the program (see attached). If the task is viewed on a mobile device, then the preview shows as expected. Is this more global that is needed to be fixed or are others not having this issue. Thanks422Views5likes6CommentsComments missing in MS Planner Android App
Hello everyone, When opening an individual task in the Android App of Microsoft Planner, I'm no longer able to see the comments history for many of my tasks. It is broken since 5 days. It seems to be a problem limited to the Android app. When opening Microsoft Planner on the web or in the iOS app, I can still see the full comments history as usual. I tried deleting cache and un/reinstalling the Android app on my Galaxy S21FE, but the issue still remains. The strange thing is also that not all tasks are affected. For some tasks, I can still see the full comments history. Also, when posting a new comment on a task in the Android app, I cannot see it after hitting send, but later in the Web/iOS app. I'm wondering if anyone else is facing the same issues? I've created a support ticket in the MS365 Admin Center, but support hasn't gotten back to me yet after 72 hours (it's severity level C).108Views0likes1CommentPlanner Tasks Blocking My Outlook Calendar - How to Change to “Free”?
I’ve synced my Microsoft Planner tasks with my Outlook calendar, but now they’re showing as “Busy” and blocking my availability. Is there an easy way to change these events to “Free” so they don’t interfere with my work calendar? Thanks!132Views1like1CommentPlanner Integration with Loop Tasks
Need some guidance - We are starting to use Planner to keep track of a large number of tasks. Currently planner is setup with: Approx 10 buckets (in kanban view), and a list of tasks below each. We are using this mainly just for tasks, so the Timeline view isn't needed. We want to connect tasks recorded in Teams meetings, and in Loop to our main Planner. Whats the best work around for this? When using Loop, and we create a task and we connect it to Planner, it will create a new Plan and put the tasks under that. To me, this is dysfunctional, because we want all tasks to be under the main Plan in Planner. I like to use the GRID view of the Plan, which enables me to make subtasks under the main tasks, but others prefer to use the kanban view. However you can't see the subtasks that are under the "main task" like in Grid view. There's lots of videos showing how these parts of Teams work together, but in reality, it doesn't really work that well when it scatters tasks created in different parts to different Planners. Any suggestions would be helpful, and thank you in advance for your help. Jim363Views1like5CommentsSubtasks - What level is needed?
My company is looking into utilizing our Planner so that multiple people have access to the same plan, but for the team to create subtasks we have to purchase premium plans. What level (1, 3 or 5) is needed to create a subtask? The breakdown found https://www.microsoft.com/en-us/microsoft-365/planner/microsoft-planner-plans-and-pricing does not specify subtasks.332Views1like2CommentsOption for %complete of a task to change based on items completed in a checklist
Hi, I want the %complete of a task to change based on items completed in a checklist. Currently it uses a combination of hours and the start/end date, but I would like the %complete to also reflect the number of items that are completed in a checklist. For example, if a checklist of 8 items has 2 items done, the percent complete would be 25%. Is this possible? Or could this feature be added. I know there is a work around to use power automate, however, I encountered issues with pulling planner premium tasks into power automate. Thanks141Views0likes1Comment
