Ability to send an email to Planner and create a Task
Is this on the roadmap? Our organization is starting to lose the battle of using Planner instead of Trello, pretty much because of the sole feature that Trello allows you to send an email to a specific email address and it will automatically create a Task. It is quite a simple model: Email Subject = Task Title Email Body = Task Description Email Attachments = Task Attachments This would be a massive win for adoption. Hi Planner Team, We have noticed that the following are the known limitations in Planner. - 250 assigned tasks per user irrespective of plans - 1500 tasks can be created by an user irrespective of plans - 250 Active tasks (Not Started, In Progress) per plan [Updated 18 Aug 2017] If an user need to overcome 250 assigned tasks limitation he has to unassign the tasks assigned to him. The worst part to overcome 1500 created tasks limitation is to delete the tasks created by him. These limitations seems to limit the planner usage. For the long term plans, users will get 250 tasks assigned and 1500 tasks created in a short span of time. Also these limitations are not well documented and this made us to fear about the hidden unknown limitations. So in order to ease the Planner adoption we request you to declare the limitations and see the possibility to increase these limits. This will only help the organizations to adopt for Planner easily. Hello, I had to change our Project management to MS Planner recently, and I have to say, that I am incredibly astonished about the poorness of the user interface and functionality. It seems, that the most basic functionality is not supported and makes working with MS Planner a real pain. Even worse: A lot of collaboration features are not working or missing, which leads to frequent misunderstandings in our project team and makes people miss our on important task updates and information. I would really like to know, if others are experiencing the same issues, and if Microsoft is planning to resolve them anytime soon. Some of them have been around for more than 3 years now, as my research showed. Here is my list: Notifications: Notifications are undoubted one of the most important features in a collaboration tool. They don't work in MS Teams: When writing a comment into a task, that is assigned to another person only, a notification is sent to me. Complete nonsense! In Addition, the assignee does NOT get a notification. This has been known for 3 years now and is known to MS. The official workaround is: In order to receive notification from a task, you have to write a comment. After that, you get notifications about other comment. Seriously? How do I stop receiving comments? Should we start writing comments like "Just activating comment-notifications for me" now? The original creator of the task would also receive this kind of comments. When assigning a task to another person, I would expect to NOT get any more notifications, until it is assigned back to me. there is no possibility for@-mentions in comments. there is no way to make a setting, if you want notifications via email, app, desktop etc. its always all of them. No Notifications at all when a subtask is marked as "done" or added No Notifications when an attachment is added No Notification when the description is changed, also no documentation of the changes in some kind of "history" No Notifications when other settings of a task are changed (for example the Priority or due date) when a task is completed, I get a notification with the subject "Comment on Task XX" and in the notification it says, it has been marked as done". Why cant the subject of the notification be precise? Comments Comments are a super important feature for any Task. They document the progress and are THE collaboration feature on tasks. can't be edited. Why? no attachments possible no Hyper Links or @-mentions no quotations / formatting Batch Editing Tasks: There is no way to move or edit multiple tasks at once / in batch, only in "List" view. Complete catastrophe for any efficient Task management. Why can this not be done in any view? Tasks are always sorted alphabetically The only place, where tasks can be sorted manually, is the "bucket". An alphabetic order does not make sense in a Task manager. I want to sort my tasks in a working order. Attachments They are always stored in OneDrive Root folder. This messes up our Root folder constantly removing them from the root folder, removes them from the Task opening an attachment in the app redirects to the web-browser, very inefficient. no preview for image files? Performance painfully slow. The Desktop-App inside MS Teams completely reloads every time I change a tab or team. Very poor Mobile Experience in the App. no widgets, ugly user interface, missing out on many features, unfit for on-the-go mobile usage. Resumé: I believe I am not the only one, being very unsatisfied with MS Planner. Especially Notifications should really be a complete standard nowadays, and are nothing that has to be "invented". Please Microsoft: get the basics right! Currently planner is unusable for efficient collaboration in teams. I assume anyone using it, has been trapped in the same place as me: The organization is using MS teams, so the planner is now MS Planner. I am sorry, but I cannot imagine, that anyone decided for MS Planner when there was the option to chose any other P Tool freely. I was looking forward to the new Planner update, but instead of improvements, I’m seeing several changes that have negatively impacted my team’s workflow. Here are the main issues: "Assigned to Me" View: Previously, this view acted as a personal Planner automatically grouped by buckets, which was really helpful. Now, it’s been replaced with a simple list view, and the "Schedule" view for personal tasks has also been removed. Copying Plans: In the previous version, we could copy a plan and retain all the tags we'd created. Now, when copying a plan, the tasks no longer retain these tags, and when attempting to reassign them, the tags aren’t available in the copied plan. These changes have made it more challenging for us to manage tasks effectively. Hello! Still a little new to using Planner, but I noticed when I log in, I will get a bubble notification that says "New Changes were made to # tasks while you were away". Is there a way to see what the changes were or even what task it occurred in? For now, it feels a little like Where's Waldo in tracking the changes down. Similar to being told "Something is different!" but no information about what is different. Maybe I'm missing a simple feature, please advise! Is there a way to see all project tasks assigned to a team member? Or is this functionality on the radar? I can see all my assigned tasks, and I can see tasks by person by project, but as a manager, I would like a way to see all tasks assigned to my team members across all of their projects/functional areas, so that we can quickly evaluate their current workload, reprioritize and assign new tasks accordingly. What I'm thinking is that there would be a filter option to see buckets by team member of their collective project tasks, like the view currently available right now by individual projects. Hi there, We have adopted Microsoft Teams & Planner over the last two years for project management of high volume residential construction projects. We have become very reliant on the "Board View" within Planner. Each user has historically been able within Teams to view all tasks assigned to them across all Teams in the My Tasks tab of the Planner app, and the tasks show up as "tiles". We have become heavy users of the "show on card" functionality to ensure that multiple assignees can keep track of tasks concurrently. We are concerned as several of our users appear to have had changes to their desktop apps in the last two days which has added the new "list" view associated with the amalgamation of To Do and Planner (ie. the new "Tasks" app). What is most concerning is that the Board view appears to be restricted to each individual Team now, and we cannot see how to replicate the former combined Board view (for all Teams together) that we have become so reliant on. We would appreciate prompt attention to this item - at this point if we cannot get this resolved, we may be forced to look into alternate task management platforms that provide more fluid access to tasks across multiple Teams concurrently. I have attached a photo of the "old view" which is preferred (Board view showing My Tasks across ALL teams concurrently) VS. the "new list view" which for us is problemmatic. I noticed that there are a lot more color labels in Planner and picked the brighter colors that are lower in the drop-down list. When I use "Group By Labels" to view my planner according to these color labels, my tasks are listed way to the right end side of the board, with a bunch of empty color label columns I didn't use. I tried re-ordering and deleting those un-used color labels but I can't seem to find the features. I use Planner to manage tasks assigned to several different departments with about 200 people on the Team, and when they comment back to me after creating the task I don't get notified. Something I'd like to add to Planner thinking is the concept of Task Dependencies. If this concept was added it would make ordering somewhat easier whereby it could order tasks in each bucket based on dependencies. Yes this would require some thinking in terms of manual re-ordering, but at least it would provide a somewhat better experience without having to manually re-order 50 tasks. Ordering is a major pain in Planner. I just created a plan with 42 tasks and 4 buckets (somewhat similar to Agile scrum boards). I created the tasks based on a proposal document from top to bottom. The first problem is that whilst you're working top to bottom in your proposal document, Planner adds the tasks in reverse order and provides no alternative method of adding a task to a specific position (Last, First, etc.). So for tasks 1 through 5 you add task 1 then 2 and so on, but Planner adds task 2 above 1, 3 above 2 and so on. With 40 tasks, what you're left with is having to shuffle the tasks around by dragging and dropping them one above the other. Painful! Dear MS team. I have been using (and loving) MS Teams for some time now. But I have been using OneNote for eons (as the best app MS have ever made, in my opinion). The problem is they do not (at least not on a Mac) talk to each other. In the new 'unified' system of Teams, planner, and tasks being integrated, we need to have OneNote link into that too. Onenote has a tag for 'to do' so it would make logical sense that creating this 'to do' in OneNote was import into our todo, task, or/and planner tools too. If the new todo feature is looking to import tasks from todo, and planner/teams, then it must include OneNote also to be useful. In the windows environment creating a OneNote todo used to (i can't vouch if it still does) create a task in outlook. This doesn't happen in the mac environment. So a OneNote todo is an isolated tag. The only way of using this is to copy/paste (which is inefficient) or use OneNote search by tag - which detaches this todo's from the rest of O365. As of today, the new Planner version has been rolled out for our organisation. MS Planner is pretty much the most important tool for our project management. With the update, we can no longer copy plans without deleting all tags. In our organisation, the tags assign the responsible department to the respective tasks. This makes them extremely important. "Template Plan": Plan after we did a copy&paste: Even the Tags have to be renamed: Is there a way to revert to the old Planner? Is Microsoft aware of this problem? Was changed to the new Planner today. I can't figure out how to get it back to light mode. Used to be able to change it in the webapp, but I can't see a feature for it. I had an inquiry from a colleague asking if there is a way to restrict members of a plan to where they can't create buckets or move tasks around in different orders. I think there is an interest in having some members have read only access to look at the tasks in a plan and others who have access to create buckets and move tasks around.
