Planner Hyperlinks via Flow's Update Task Details
Greetings all, I have multiple planners that I administer. It is a common desire to have dynamically created hyperlinks added to the planner board tasks that take you to the SharePoint List's line item that was used for creating the task. I have used a power automate flow (solution) for creating said task and hyperlinks from line items. I have used power automate's update task details action to add those dynamic hyperlinks. However, for some unknown reason it also doubles the size of the card with a huge hyperlink to open the task (although the original card hyperlink still works). Why? You can see examples of it in this video at the 13:41 mark. The Planning and Executing columns have tasks with these huge unnecessary task opening links added. Why? And how can a person get rid of those since it seems to be a built in function of the flow action OR the Planner to have that? Having all that extra space taken for no reason just limits the number of tasks that can be on view at any time. I have researched and found blurbs about utilizing an Graph API tool but I'm not granted server access to implement such a thing. Is there another way around this that can be done to have said hyperlinks that DON'T create those huge extra links that are totally unnecessary? Thanks for any assistance on the matter, McGeeksMcGeeksApr 24, 2025Copper Contributor6Views0likes0CommentsMicrosoft Planner @Mention and Comment Notification in Microsoft Teams - NEW VERSION
Hi Planner Community, Thank you for the overwhelming support for my original post last year on how to @mention someone within the Microsoft Planner community and have a message automatically emailed to them. I'm excited to share that I've completely redesigned and updated the solution to now support the new Microsoft Teams Planner and remove the issues some users found with setting up the solution. Additionally, the notification is now an adaptive card within the Microsoft Teams chat to the user you @mentioned in the Microsoft Planner comment. Screenshot example above shows a comment posted by me in a Microsoft Planner task where I’ve @mentioned David at the end of the message. Screenshot example above shows the comment posted by me in Planner being automatically sent to David (thanks to the @mention in the comment) on Microsoft Teams. Allowing David to reply in either the traditional Planner or new Teams Planner. Attached is a zip file containing the Microsoft Power Automate solution, along with a detailed walkthrough to help you set it up. Enjoy! If you download the solution, all I ask is that you please give this post a thumbs up. Thanks, everyone! Just created what i believe is a highly effective method to ensure Planner Comment Notifications work seamlessly. We're all familiar with the challenge of comments getting overlooked, especially when staff members haven't previously engaged with a particular task. My new Power Automate solution addresses this issue by sending emails (or you can switch to Teams if preferred) to everyone assigned to a task whenever a comment is posted. The email includes the comment itself and a link to the corresponding task. To adhere to best practices, I created the automation in my user account but set it up to automatically send from an admin@ account. This step isn't mandatory but is recommended, especially if you anticipate commenting on numerous tasks yourself as the automation "owner". I've uploaded a brief 20-second video demonstrating the functionality. I'd appreciate likes and comments, and I'm more than willing to share the solution. This automation is part of a larger course/solution package I'm developing. Other upcoming features include automatic assignment of unique project codes (you can catch a glimpse of it in the video), auto-assignment of staff based on labels (for instance, if your yellow label is labeled Marketing, it automatically assigns everyone in marketing when used), and more. I'm eager to hear your thoughts on the comment notification solution; I believe it's one of the most visually appealing solutions available. If want to access the comment notification just @mention me in the comments below.MatthewJamesDavisApr 23, 2025Iron Contributor9KViews5likes37CommentsPlanner with Resource Calendars
Hi, I have a team with differing working hours e.g. some are 8 and some 6 per day. Is there anyway I can setup this flexible resource availability for my resources under Planner? I was hoping to use the "Resource calendars" option but have been advised this is not released yet. We are running this under Planner Premium. Any advice is much appreciated! Thanks.AlexShortApr 22, 2025Copper Contributor58Views1like3CommentsGuest Access for iOS??
We rolled out Microsoft Teams and Planner for a project at our organization. We have guest access turned on and enabled across Teams and Planner and everything seems to be working well. However, we noticed that our guest users do not seem to be able to access Planner thru the iOS app on their phone. It just says "Can't open link - You either don't have access to this item or it has been deleted" Is this a settings issue or something that isn't available on the iOS app yet?Jeff KinderApr 18, 2025Copper Contributor2.5KViews2likes5CommentsPower Automate create tasks in Planner Premium plans
Hello, I noticed that Planner Premium plans still have a projectId rather than a groupId. Using the planner connector in PowerAutomate I am able to find all tasks (tasks of premium plans and non premium plans), however, when I want to create a new task I can only find the non premium plans and it seems to be not possible to create a task in a premium plan using the planner connector in PowerAutomate. Is there a reliable workaround I can use (e.g. using the graphAPI)? Hello everyone, I'm currently using Microsoft Planner for project management and collaboration within my team. However, I've encountered a challenge and would appreciate some guidance. Is there a way to configure Microsoft Planner so that only specific individuals, such as my manager, have the ability to make changes to the tasks and plans, while others can only view them? Essentially, I'm looking to prevent general team members from altering the plan, while granting full editing rights to my manager. Any tips, tricks, or insights on how to set this up would be greatly appreciated. Thank you in advance for your assistance!HamidBeeApr 16, 2025Brass Contributor8.3KViews4likes8CommentsNew planner doesn't show a "schedule" view of tasks assigned to me from different plans
The new version of web-based Planner was enabled for me a few days ago, on November 17th. Apparently, I realized that one of the features I used is missing. At the "My Tasks" view, in the old version of Planner, one could choose to have different views, apart from the grid view. The most useful one for me was the "schedule" view, since I could see in one calendar, all assigned tasks from different plans/teams/projects. This functionality now seems to have been removed, and one can only see one separate schedule per plan.lefteravApr 15, 2025Copper Contributor473Views3likes4Comments
