Automatic version history not working for self created document libraries
Hi, Our SharePoint environment is currently using the default version history number of 500. We were looking at lowering this because we're just consuming way too much storage. Last year we noticed that there was a new way to manage version history, automatically, which is also recommended by Microsoft. I finally got my head wrapped around on how it works, and we're doing some testing on it on just a few sites, but when I set it on a document library outside of the default "Document" library that comes with the site, it doesn't work. Nothing is set to expire even though there is lots of documents with aged versions that should have seen expiry dates by now. When I set it the versioning to automatic on the default "Document" library, it seems to work, as I do see files that have expiry dates. I have a weird issue with a user and the Check Accessibility feature in Word. It's required that they use it before they send these documents out as they go to various clients. About a month ago, it just stopped working correctly, and gets stuck on "Updating Results" New document with text added using Word desktop app - works Existing document from SharePoint using Word desktop app - doesn't work. Same document works with the web version of Word Save document from SharePoint to local desk using Word desktop app - works Opening an Word attachment in email using Word desktop app - works. Saving same attachment to OneDrive then using Word desktop app - doesn't work. So the problem appears to be centered around files that get opened on OneDrive/SharePoint and using the Word app. It works when it's a local file, but the same file that is saved in SharePoint will not work. The web version will work though. We are on the monthly enterprise channel, and currently on version 2406, build 16.017726.20206 9x64). Hi, We are setting up a SharePoint site and would like to behavior of the SharePoint search to search that site collection, as well as a different site collection. I know it's possible to change the search behavior for a site to either do that site, entire tenant or hub but we'd prefer to have it only search another site if possible. Thanks! That's what I figured but I thought I'd ask anyways if someone know of a way. Our problem is that we have a weekly company newsletter that is attached as a PDF. We'd like better analytics on it on who has viewed it. Since we can't really do that with an attachment in an email, we've decided it to put it in a SharePoint document library. We've turned on SharePoint Viewers that that gives us the info we need, however when we put the link to the document in an email, it opens in page view, which doesn't look great for some viewers. Does anybody know if there is a way to force a PDF that is saved in a SharePoint document library to open at 100% within the browser? We have our company newsletters saved in a site document library but it always opens up window size. We'd like to have it open at 100% instead so that the text is a bit more clear to read. Oh I agree. Unfortunately, we don't have a governance policy in place on sites, something I am working towards to help with the expiry of unused sites properly. I'm curious, what's the best way to fully delete a SharePoint or Teams site? We need to do this form time to time to reclaim storage space in our tenant, specially for sites that are no longer in use (We do archive the site first though). Currently, for SharePoint this is what I do 1. From SPO admin center, delete the site 2. Use the PS command Remove-SPODeletedSite to fully delete it What I've been doing in Teams is: 1. Delete from Teams admin center 2. Go to Azure and into delete groups, then permanently delete the group. So we had a user tell us today that they had joined a Teams call, turned on their camera, but then turned it off shortly after. User the said they left the call shortly after that, but the participants still in the call was able to see the camera feed. Hey all, I'm helping a customer migrate their SharePoint/Teams sites to a new tenant. The current tenant is out of SharePoint storage and it's been like that for months. Everything still works though. My understanding is that at the site level, if a site has reached it storage quota, it's in read only. I can't find anything on what happens though when the storage is at capacity at the tenant level. So by default, I believe a new SPO site sets the version history number to 500. This number is even higher on some of our sites. This is causing our SharePoint storage to be heavily inflated than what it actually is. For example, we have some sites that have over 600 versions of a 10MB PowerPoint, which means it is taking up 6 GB for that file alone. I would like to cap the number of versions that a document library can have. Questions I have are: Can I enable this for all document libraries at the tenant level? I've found some scripts but that needs to be applied at the document library level If I change the limit from 500 to 100, would that automatically start to the delete the oldest versions until there are 100 versions left and keep the newest 100? Is there a best practice on the number of versions to keep? Even 100, what I am planning on setting, seems to be a bit much. Thanks.22KViews0likes3CommentsWho is User "Microsoft Teams Sync"
We had an issue today where a Teams site was deleted. Owners of the site reported that it was no longer there. I could not find it in the Teams admin site, but luckily I was able to restore it from the SharePoint recycle bin. I decided to run an audit using Purview and found that it was deleted by the user "Microsoft Teams Sync". Searching for this didn't turn on much. Don't those roles only apply to Teams live events? Under our Participants and Guests section of our meeting policies, we have set "Who can present in meetings" set to "Everyone, but user can override". Bit of a weird issue with Teams. A few people have told IT that sometimes, the share button is missing in a Teams meeting. What someone figured out, perhaps by accident, is that if they mute and unmute themselves, the button reappears. I have not seen this myself and no idea how I would even replicate this. We're aware that SharePoint storage is limited, based on the number of M365 E-type licenses we have. We have groups of people that have been uploading terabytes of data into SharePoint, since it's easy and fairly quick. However, we are running low on disk space and it's $0.20 per additional GB per month. We have other cloud storage options that are much cheaper. Is there a way to retain the Teams/SharePoint interface but point a document library to a different storage option, and not use the default document library? Maybe like have a drive mapping or UNC path appear within SharePoint or Teams? I'd like to be able to not use the document library that comes with SharePoint, but open up another storage location from within SharePoint, if that makes sense.404Views0likes0Comments
