Microsoft To Do shared list – notifications arrive but the list on my account doesn’t update
Hi, Since Sept 7, 2025, I’ve had a problem with a shared list in Microsoft To Do. There are two users on the list. When the other user adds or completes a task, I get a notification but in my account the list itself does not update: the task still looks unchanged. This happens in all clients I use: web app on Windows PC and Android app (Galaxy A13 5G). If I add or complete tasks, everything syncs normally and the other user sees the updates. The other user does not have this problem. We tried reinstalling apps, rebooting devices, and even creating a new shared list, but the issue remains. Since the same behavior happens on every device with my account, it seems like a server-side sync problem rather than a device issue. Is anyone else experiencing this? I have an active Microsoft 365 subscription. My wife and I share Microsoft To Do lists. We recently noticed a synchronization issue: When she creates/deletes/updates tasks, they sync to me. When I create/update tasks, they don’t sync to her. When I delete tasks, they are deleted for her. We’ve already signed out and back in, and tested on different devices and platforms. Hi, first time posting here, please let me know if I should be doing something differently! I've searched throughout the internet and couldn't find a reason for this. I've got a couple of users running into a problem where the https://learn.microsoft.com/en-us/graph/api/todo-list-lists?view=graph-rest-1.0&tabs=http endpoint only returns one list (Flagged Emails), though these users have and see many other lists in the To Do desktop (macOS) app. I've confirmed in both cases it's the same user that's identified in my app/integration and in the desktop app. They can see the tasks in that list without a problem. There are no errors requesting that list, and asking via `/users/{id|userPrincipalName}/todo/lists` also returns the same response (with that one list). Is there any known situation where this could be happening? Am I missing something obvious? Is there something else I should be trying? I've got many other customers using the To Do integration without a problem. I'm aware "My Day" and a few other special lists aren't returned. I share some lists with my wife and when I add something on my iPhone, she does not see the added item on the shared list. However, when she adds something to my shared list, I see it on my list. Here are the particulars: I'm the owner of the list and share with her. Our emails are work/school email accounts and we are both operating on iPhone 10's. Apps are up-to-date. Can anyone tell me what's we might do to alleviate this issue? We used Wunderlist before and never had any issues. Hello everyone, I've been using the Microsoft To Do app and wanted to discuss an issue regarding the category/tag functionality in task lists. Recently, Microsoft introduced an update allowing the addition of customizable tags to each task within a list. I have successfully configured and assigned these categories via the web interface using a browser. However, I noticed that the categories/tags assigned through the web do not appear in the Microsoft To Do apps for Android, iOS, and Microsoft Store. This makes it challenging to find specific tasks when using these apps. Is anyone else experiencing this issue? Is there any update on when this functionality will be synchronized with the mobile and Microsoft Store apps? So categories could be useful. They have been added now to both the online ToDo app and Outlook Web Calendar. A great feature is in Outlook Calendar (web), you can choose from the top right the a ToDo list side menu and drag a task onto the calendar to make a quick 1/2 hour block and move it around. And you could color code this with categories. HOWEVER, they are not connected. If I choose a category (e.g. Purple) in ToDo and then drag onto the calendar the event does not have a category. I can add it AGAIN if I want or add a different one. (1) I noticed this drag and drop is one-way and any changes in the calendar are not reflected back onto the original task. Fine, you can fix that later, but (2) when I drag the task onto the calendar, why can't the category at least go with it? Below the dialog box where you add a task, there are 3 options, to add reminders, due dates, and recurrence. This is great. But if you could ALSO have star and MyDay there so each task you add gets those as well. This is in the web version of ToDo, though I think it is the same in the online Outlook version and the desktop app version, all of which I use. Using To Do to work with Outlook tasks is a HUGE problem because To Do has bafflingly omitted the Start Date field. Outlook has Start Dates. Todoist does. Microsoft's Planner does. In fact, every task management system I've ever seen has them. But not To Do, and that's despite the fact that it directly syncs with a program (Outlook tasks) that does. So, Microsoft sees the value of start dates in all of its other task management software, but the To Do team thinks it knows better? I've been extremely frustrated with To-Do since I was forced to use it for my personal list over Planner, but now it's completely unusable. Now any changes I made are going right back whenever I refresh the page or leave and come back. Completed items are undone, changed due dates are reset. Even new tasks I add are gone. I have a problem on my Android device (Samsung Galaxy S25 Ultra) with To Do app (version 2.143.935.02). It started constantly sending me push notifications "Sign back in to myaccount to keep using To Do". When I tap on it, it stays on the circling thing that indicates that something is loading and then throws me to the default screen and on and on it goes. I already tried to clear the cache, delete the app data, uninstall and reinstall it, but nothing works. I even tried and logged in through the web version of To Do and it doesn't show my lists and tasks as well. It is also stuck on loading tasks state. Does anyone have the same issue? Hello, I'm currently experiencing a serious issue with the Microsoft To Do app on Android. Suddenly, it started prompting me to log in again. After logging in, it goes into an endless loading loop and keeps asking me to log in repeatedly. I tried logging out and back in, but the issue persists. I then checked the PC version of the app, and strangely, none of my To Do lists were visible. When I accessed the web version, it just says “Preparing your lists...” but nothing ever loads. Has anyone else experienced this issue or found a solution? For context, I did recently make some changes to my account’s security settings—wondering if that might be related. There are some frustrating limitations to the To Do app right now: Does anyone know if Microsoft will be adding the feature to directly assign tasks to users without having to first create a list, share it with someone, and wait for the person to join the list? Also will Microsoft be enabling the ability to set reminders for people you assign tasks to in To Do? Right now, I can only set reminders for myself, even on tasks I've assigned to someone else in a shared list. I work in a position for a large government agency in which it is often necessary to collaborate with or assign one-off administrative or HR tasks with others who are not members of an MS Team with me, so using Planner to assign a task is not feasible. The ability in Outlook Tasks to assign a task to anyone in our agency's global address book and set a reminder for them is essential. Microsoft, please incorporate these features in the To Do app. The To Do app seems really awesome except for these two lacking features. It's nice to be able to assign one-off tasks to people outside my working teams and set up reminders for them as we can in Outlook Tasks. Hello, I want to use Microsoft ToDo in my Outlook App, but it is extremely slow an laggy. Switching between "My Day" and "Tasks" Section takes several seconds. Once it loads the task, scrolling down the Tasks takes also several seconds. It is unusable for me. The web version is a little bit faster, but still slow. Hello, I used to have ~100 tasks in my To-Do application these days. As of yesterday, they have been reduced to ~50. Multiple tasks disappeared from various lists (the lists are all intact). I rely on To-Do a lot and that's why I have it on 2 Windows PCs, 3 iOS devices and 1 Android. All are synced to the ~50 baseline, which as of yesterday, since to be my as-is in Microsoft's servers. All 6 applications (in all 3 different platforms), are on To-Do version 2.55 (latest one as we speak today). Of course I have uninstalled/re-installed, log-out/in, and changed passwords to my Office 365 account several times, with no effect. When I visited the web app, to check the situation, my tasks were not deleted (i.e. reduced from ~100 to ~50), but I noticed, that these ~100 tasks, were not exactly my latest update (i.e. I have seen tasks here and there that I have recently closed, or changed that were not reflected in the web app). But at least the heavy reduction from ~100 to ~50 was not done (some hope there). But when I signed out and signed it again (always in the web app), then I saw all these tasks disappearing from here as well. So now, all 6 apps (Windows, iOS and Android), plus the web app, are ALL SYNCHORNIZED to this ~50 tasks baseline, which as of yesterday, seems to be my new as-is in Microsoft's servers. The disappeared messages are not in deleted tasks folder of Office365/Outlook, etc. They are totally gone. Can anyone support me, or suggest something to me ? I frequently reuse lists for repeatable things like packing for a vacation. Currently I have to set each item individually back to incomplete when I want to use it again. An option to reset the whole list at once would be great. Same goes for deleting completed items. I always have an ongoing grocery list, but deleting the old items is very tedious and I find myself just deleting and recreating the list with the incomplete items because it's quicker.5.5KViews9likes8CommentsFeature request - sort completed tasks with most recent first
Sometimes I need to go look at a recently completed task and it is a pain to have to scroll all the way to the bottom of the list, especially on mobile.
