We are very excited to announce a SharePoint Server Subscription Edition AMA!
An AMA is a live text-based online event similar to a “YamJam” on Yammer or an “Ask Me Anything” on Reddit. This AMA gives you the opportunity to connect with Microsoft product experts who will be on hand to answer your questions and listen to feedback.
Feel free to post your questions about SharePoint Server Subscription Edition anytime in the comments below beforehand, if it fits your schedule or time zone better, though questions will not be answered until the live hour.

- dbetlowIron ContributorI've created a taxonomy with some term sets/terms. I've added Managed Metadata to my SharePoint site and now I would like to make the documents searchable from the global search (SharePoint Online) as I'd like to encourage other SharePoint Owners to do the same. I'd like to create a new Vertical (under Search & Intelligence) to only show documents that are 'Published' (Term = Document Status), so we can differentiate between 'Draft' documents or 'Archived' documents. I don't see the metadata I've created in the Vertical (Query options) or Filters. I've enabled the Term set for site navigation and faceted navigation. I also don't see a way to just search globally on the 'metadata'. Is there a special syntax for this, so we search on just documents tagged with 'Pricing'? Either through a term or enterprise keywords? Appreciate any assistance.

Hi Damon, We will do some investigation and get back to you later. Thanks Steve - Aria_ConsultingBrass ContributorIn your search schema, did you assign your term set to one of the refinable string variables?
- cgeisslerCopper ContributorContact Field Display -- appears to have disappeared in SharePoint Online. As low-level site owners, my organization doesn't allow us to use any kind of scripting or developer tools out-of-the-box. In previous SharePoint versions we used "Person or Group" columns with "Contact Field Display" extensively to keep track of lists of people (for example members of a Community of Practice) and some organizational contact information (email address, job title, location, manager, phone number). Will there be/Is there an equivalent way (without 'scripting') for a list owner to have similar functionality without having to do something like duplicate the person's name in multiple fields in the same record?

Hi Colin, just to clarify, are you asking about SharePoint Online or SharePoint Server Subscription Edition? (This AMA event is focused on SharePoint Server Subscription Edition.)
- Patrick BorgschulteBrass Contributor
Hi,
I have severe issues to get my SharePoint Online Contact List synced with Outlook 365. There is no solution to the problem. See here: https://powerusers.microsoft.com/t5/Power-Automate-Ideas/Outlook-actions/idc-p/1528268/highlight/true#M28520
Workaround stated here does not work: https://docs.microsoft.com/en-us/sharepoint/troubleshoot/lists-and-libraries/sync-sharepoint-list-error-0x80070005
Also, there is no alternative offered by Microsoft how this can be accomplished in another way. The Modern SharePoint experience does not even offer to connect a SharePoint Online Contact List to Outlook 365. The working on the contact details within Outlook, the filtering, viewing and using is so much more convenient as doing it online in SharePoint.
Why is the syncing feature deprecated without offering a replacement? This not very user-friendly.
Best regards,
Patrick
- Aria_ConsultingBrass ContributorThe solution MS would LIKE you to use is Dynamics 354 for Sales. Obviously provides way more functionality than just a contacts list, but the sync service to Outlook (Exchange Online) is very capable. Baring that, have you looked at using an integration solution such as SyncApps or Zapier? (you would need to check to see if either of them support that scenario, but they might)

Hi Lorne,
Yeah, sounds as a good sales tactic. But I find it rather annoying that a useful feature from the current suite of paid applications (our company for sure pays a lot for the 365 business subscription) is "deprecated" and nothing is coming from Microsoft as a replacement?! Not really a fair situation to urge us to buy additional stuff to be able to keep on working ...
BR, Patrick
- YingLamCopper Contributoryes depricated is the key word. it pops up at every solution i try
- Phil BlakeCopper ContributorIs it possible to build dynamic forms in SharePoint? We currently use Adobe LiveCycle designer to create the documents but would love to move this over to SharePoint since LiveCycle is EOL. We need a form has the ability to expand the fields based on the content entered.
- Aria_ConsultingBrass ContributorKeep in mind that to use Power Platform services (Power Apps, Power Automate, etc.) with SPSE you need to license and setup an on-prem data gateway so that the cloud services can access your on-prem environment.
- Steve Zhang
Microsoft
Hi Phil, You can think about using PowerApps as a way to build a dynamic form. In this way you can design the form to hide/unhide input controls base on other controls' value. Hope that can help you. Thanks Steve
- Grinman_AnastasiaCopper ContributorHello, I could use advise of an expert :) I've been looking for a way to use co-authoring for a password protected Excel workbook stored on Teams therefore SharePoint? Excel file have to be available for co-authoring (editing at the same time) for few persons and at the same time have to be read-only for a larger group of users. Does this feature exist already? Thank you in advance
- YingLamCopper Contributoruse a sharepoint libraries with the editing rights for few persons the rest will be visitors with read rights. the first user doesn't opens the file exclusive you can edit and view with multiple users. by the way the files are easily corrupted (locked) when users don't close the files after using it.
- Raffaele CamillettiCopper ContributorCouldn’t you provide to remove password in the Excel file and modify the permission of the file uploaded in SharePoint (enabling a group to edit and a group to read)?
- Grinman_AnastasiaCopper ContributorThank you for your suggestions, unfortunately this file is stored on Teams (and have to be there) and it's automatically permitted to edit for all team members, so in this case edit and view options wouldn't work
- rmgarciaCopper ContributorIf I connect from file explorer to davWWWroot access, I don't see files with path more than 260 characters, Any solution for that or is in roadmap to solution?
- wbaer
Microsoft
SharePoint Server versions only support up to 260 characters for file and path lengths, Microsoft Excel and older Office version have a lower limit, see KB 326039 for details. IRT to OneDrive, the length of the OneDrive root folder (e.g. C:\users\meganb\OneDrive - Contoso) + the relative path of the file (up to 400 chars) cannot be more than 520 characters. We don't plans to increase this limit at this time.
- YingLamCopper ContributorWe can't find a way to automaticly update the sharepoint 365 librariy content and the on premise applications and databases I tried powershell but that doesn't When writing c# application with visual studio 2019 i get stuck because the internet examples are using older visual studio editions and older dotnet frameworks Can you recommend some sources or training?

Microsoft
I'm sorry Ying, afraid I'm not following the question you're asking. Can you clarify your scenario? Are you trying to sync a SharePoint Online document library with SharePoint Server?
- DomNBrass Contributor- Newer SPFX on Prem, ever? - Stuck with legacy InfoPath & DesignerWF on Prem post 2026 or some offline native option coming (short of custom dev) --ie powerApps/Automate server edition when (sic) -Any legacy or new service apps being looked at/iterated on? - rmgarciaCopper ContributorHi, I have a SharePoint 2016 On-Premise, (V. 16.0.10337.12109). With files not Office, we want to when an user open file SharePoint lock this file for other user edit this file. And when user closes that file, unlock automatic. It's possible?
- mikeleemsft
Microsoft
You can set the library to require check out. When files are checked out, the file is effectively locked until it's checked in. https://support.microsoft.com/en-us/office/set-up-a-library-to-require-check-out-of-files-0c73792b-f727-4e19-a1f9-3173899e695b- rmgarciaCopper ContributorOK, but it's a tedius procediment, because for edit file or rename name, system require me for extract it from repository, can it automatic?
- Raffaele CamillettiCopper ContributorWhich is the best practice to integrate AI & machine learning services with SharePoint on Prem? For SharePoint Online we could think to Syntex, Power Automate (with AI builder) or Azure services… instead here?
- Steve Zhang
Microsoft
Hi Raffaele, Could you please tell us more about what kinds of scenario do you want AI to be enabled? In current stage, PowerAutomate can work with SharePoint Server list through a gateway. And we don't support other AI technologies in on-premises so far. Thanks Steve- Raffaele CamillettiCopper ContributorHi Steve, thanks for your feedback. I need to extract info from files in specific document libraries and then update the metadata properties. So the only way for the moment is to use Power Automate? Il If yes, I need to buy licenses because are not included in SP on prem… the question is: can I buy only one license to process the documents. Aren’t other scenarios to get this deliverable? Thanks
