SharePoint Architecture, Development and Implementation

Hi,

 

Im Kevin Murphy, an o2 Digital Solutions Specialist. Im currently working with a customer who has asked for support specifically around the development and deployment of SharePoint. The following questions have been asked, which hopefully we can obtain some answers from;

 

1) Are we able to create Groups and Teams now (before the SharePoint structure is built) and then move or restructure them once we have the SharePoint Infrastructure built?

2) Is there a way to automate the team termination and just keep the group?

3) Can we turn off the group email setting when we create a project group?

4) Can we create directory aliases (or a link) within each group for folder structure?

5) Can we add a ‘filter’ option for when accessing the main intranet page? To see global content vs. just local.

 

The Solutions Specialist that come to the customer meeting with us was fantastic in his technical knowledge and understanding, but wasn't able to support with some of the more specific rerquests around the architecture and deployment of the solution.

 

If youare able to offer some further insight into these requests we would really appreciate the support.

    1) I don't get what you want to achieve here
    2) No, there is not a way to do this
    3) No, Group creation process need to create all the Group artifacts..each artifact is created at its pace so first you have the EXO Inbox, and secondly the Group Site and Group Notebook
    4) Again not getting what you want to achieve here
    5) A little bit lost here...you started talking about Groups and Teams, and here you talk about having filters on the main Intranet page

      the Customer has provided me with some further insight into their request;

       

      1) Based on our wireframe, we want to have a Site setup for each client with the projects for each client nested in the site as a group. Are we able to move existing groups into a ‘Client Site’? For example, say we have O2 as a client (we have a site that stores all projects we are working on for O2) and we are starting Project X for O2 but we don’t have the O2 site setup yet, are we able to create a Project X group and Team that can then be nested under the O2 site once it is created?

       

      4) We want to have a Site for education documents for internal employees, but we don’t want the documentation to live in that site, we want the documents to be referenced (or aliased from another site). For example, as IT, we have standard documents that we want employees to have access to and read, but ultimately, we want them to live within the IT Site, but don’t want people to have to navigate to multiple places. So, can we have a Site that is called ‘Documents’ that anyone can click on, that has aliases or links to the documents in the IT site, without them having to be copied and live in both places.

       

      5) Similar to how Amazon works when you are looking for products, you can filter for products that are Prime Only. Are we able to have this applied on the main landing page so employees can filter content based on a Local (US, UK) or Global tag?

        Hello Kevin,
        My comments on your customer request:
        1) Nested Groups are currently not supported in Groups so I think the same happens with Teams...you can add a Group, but what it's going to happen is that all Group members are going to be added to the Group
        4) I think you have to meet this requirement using search capabilities in SPO so you have a document central repository and you define a query to the repository at every site where you want to display the information stored there.
        5) I don't see problems on having this...using SPO search and with the content classified in the right way you should be able to get a home page where you could easily do such filtering

      These questions were posed directly from the customer, so I have asked them for some clarity on their points.
