Configure purge for SharePoint

Hello all,

 

I would like to configure purge such that it deletes all the files from all the sites that are older than X amount of years (based on last modified). If possible I would like to exclude lists, site assets/library.

 

Can you please let us know if this is possible to configure using the Microsoft Purview modern portal?

Yes, it is possible to configure purge for SharePoint using the Microsoft Purview modern portal. Here are the steps involved:

  1. Go to the Microsoft Purview compliance portal.
  2. In the left navigation pane, select Retention policies.
  3. Click Create.
  4. In the Create retention policy dialog box, select the SharePoint content type.
  5. In the Scope section, select the sites that you want to include in the retention policy.
  6. In the Retention settings section, specify the retention period. You can also choose to exclude lists, site assets/library, and other content types from the retention policy.
  7. Click Create.

The retention policy will be applied to the selected sites and will start deleting files that are older than the specified retention period.

Here are some additional things to keep in mind:

  • The retention policy will only delete files that are older than the specified retention period. It will not delete files that have been modified within the retention period.
  • The retention policy will not delete files that are in the site Recycle Bin or the site collection Recycle Bin.
  • You can create multiple retention policies for different sites or content types.
  • You can also create a retention label, which is a more flexible way to manage retention. A retention label can be applied to individual files or folders, and you can specify different retention periods for different labels.
