Receive a recurrent email and only keep the latest one

Morning.

I have a report that i receive via email every hour (in case there are updates that need to be uploaded to one of our systems)

the emails are directed to a specific folder via a rule.

But instead of having an accumulation of 24 emails a day, I would like to only keep the latest one and delete the others (and not having to do that manually ) Is there a rule or policy i can use for this?

To automatically keep only the latest email and delete the older ones in Outlook, you can create a custom rule. Here is how you can set it up:

  1. Open Outlook: Make sure you have Outlook open and the account where you receive these reports is added.
  2. Create a New Rule:
    • Go to the "File" tab.
    • Click on "Manage Rules & Alerts."
    • In the "Rules and Alerts" dialog box, click on the "New Rule" button.
  3. Start from a Blank Rule:
    • Select "Apply rule on messages I receive" and click "Next."
  4. Set Up Conditions:
    • You can leave the conditions empty to apply the rule to all incoming emails.
    • Click "Next."
  5. Choose an Action:
    • Check "defer delivery by a number of minutes."
    • Click on the "a number of" link in the Edit Rule Description section.
    • Set the delay time to a few minutes (e.g., 1 minute) to ensure the rule does not interfere with other incoming emails.
    • Click "Next."
  6. Edit the Rule Description (Optional):
    • You can provide a name for the rule in the "Edit Rule Description" box.
    • Click "Finish" when done.
  7. Apply Rule on New Emails:
    • In the "Rules and Alerts" dialog box, click "Apply" and then "OK" to apply the rule to your inbox.

Now, whenever you receive an email, the rule will delay the delivery of the email by the specified number of minutes (e.g., 1 minute). During this time, if you receive a newer email that matches the rule, the previously delayed email will be deleted, keeping only the latest one.
