Sharepoint List - Certain records are hidden unless cache is cleared/ cookies deleted... why?
Hello,
Not sure if anyone else has experienced this issue. I have a sharepoint list which is used by many users across the business. There's been a growing number of cases of certain records disappearing for multiple users, if they filter on a value that exists nothing appears.
The fix has been to either use incognito mode or to clear their cache and reload, with the record then appearing... It's becoming a real pain.
Has anyone else experience this? If so, is there a fix?
Thanks
- James8uCopper ContributorHi all, sorry for the radio silence.
Thanks for the suggestions below. I've tried all or most of the ideas, but still have the issue sadly. - MichaelDanoBrass ContributorI have several replies in this thread, but this will be my last (I hope):
Summation of the issue:
- We had users that could see all items and some that could one see some of the items
- Clearing the cache / cookies only helped until the browser was refreshed
- In a short period it wasn't possible to create new views. "Unable to create new view".
- One suggestion in various forums was to change the List Settings / Advance Settings / Allow items from this list to be downloaded to offline clients? to "No". This had no immediate effect, but have had after a couple of days?
- After trying the above and waiting for a few days I raised a ticket with Microsoft. When on remote session with MS the issue had disappeared for me. After the session I turned to one of my colleagues using the same list. The issue was still present for her. We cleared cache / cookies and little did it help. However, after waiting for another 2 days the issues had disappeared for her as well.
Microsoft believe changing the setting (mentioned above) does the job. It might be so, but you still have to wait for it to pull through (maybe 48hrs).
- Ticket with MS closed
So:
1. Clearing the cache / cookies only helped until the browser was refreshed
2. Change the List Settings / Advance Settings / Allow items from this list to be downloaded to offline clients? to "No". Note that this has no immediate effect.
3. Clear cache / cookies for the site (right click on the lock next to the url address in the browser)
4. Wait 48 hours. Note - you are currently waiting for the "Microsoft magic" - so be patient 🙂- marcin_wiktorCopper ContributorI confirm. I changed this setting and it didn't help immediately, but after some time I see that the problem has disappeared.
- CesareDaldelloCopper ContributorHello there,
I did changed the list setting last friday Oct 13 and the problem keeps going on.. any other suggestion?
- carel_evertseCopper ContributorUpdate on our side: When we clear cookies/cache the list is temporarily correct but as soon as a new item is added, the list reverts back to the faulty one of the individual user. As the list is an important part of a Power Automate flow, it's causing quite a bit of headache for us.

I noticed that in classic experience user can see all (but it wont open the custom form)
- markusschieferBrass ContributorIt's definitely cookies related, which kinda blows my mind.
I would understand and still criticize it, it was related to an outdated cache, but delete the cache didn't do anything for me.
I had to delete the Sharepoint cookies and login again in order to get items to show up in the New Experience.- markusschieferBrass Contributor
Sadly this was only a short success. After a single page load the issued returned.
Deleting the cookies will result in items being shown in the New Experience but after a single page reload, the items are gone again and can only be seen when using the Classic Experience or searching for the Title.
On top, the PowerApp that created the entry doesn't find the item either unless when the Title is looked up.

Well deleting the windows profile only lasted a couple days. This issue is back for one of my lists. Found that if I switch to classic view I'm able to see the missing items and enter in new ones. Appears to only happen with using 'new experience' view. I have a ticket open and will update if we get a resolution.

I checked today and everything seems to working fine. Maybe Microsoft has resolved this bug?
- MichaelDanoBrass ContributorI have the same experience. I raised a ticket with MS and when going through the issue - it had disappeared. For me that is. We still have issues with 2 of 7 other users using the same list. We have several lists, but this is the first time and only this one list where we have the problem. I wa created a couple of weeks ago.
MS suggested change the Advance Settings "Allow download of items for offlines users" to no.
That I had already tried. When going through the issue it was in "Yes". I haven't got at clue if this could have had an impact. We are trying to see if it resolves with the two users by tomorrow. If not, I have the ticket open for yet another day.
I'll also post any solution MS may come up with. This is really annoying.

James8u We have exactly the same issue! Will be following this.
- James8uCopper Contributor
carel_evertse That's good to know we're not the only ones!

James8u see whether this solutions works for you too?
Update your Onedrive to version > 23.174.0820.0003
- SifiakCopper Contributorsame issue here, i noticed that i had the same problem but 2-3 days later it disappeared... now other users have it, and they have the issue even if same windows version or onedrive version (can not confirm both yet). if user logged in to other machine the problem was not present so it is tied to some software...
- christinepaytonIron ContributorThis can happen with the offline mode sync - you could try disabling offline mode in list settings?
- SifiakCopper Contributor
christinepayton i tried, its same
- ITpadawanCopper ContributorOur users are having the similar issues when clicking refresh and clearing the cache. We've had it happen that a user boots their computer, opens a browser that has been set to clear its cache upon closing and is presented with an out-of-date version of a SP page.
It's almost as if the cloud server for our SharePoint page is holding its own cached image of the site pages.- markusschieferBrass ContributorWeirdly I now found that the same issue can be observed in a PowerApp that uses the same List: New rows are only found by searching for the Title, potentially other fields, but they are not shown when retrieving all rows, just like in the Sharepoint frontend.
That only makes it even more confusing since deleting cookies will fix the issue for a single page load on the web frontend which at first glance seemed to be pure frontend issue.- James8uCopper ContributorYes! We have a PowerApp that displays data stored in the list and have the same disappearing issue there. Really odd! But glad it's not just us experiencing this issue.
