Teams Premium add-on: default policy
Can you help me understand custom meeting policies in the Premium add-on?
We have a user who we'd like all meetings to follow the policy we set (1 being record) so we created a Meeting Template and a meeting template policy. The user has been assigned the policy to overwrite the Global Default. In Teams, I have the ability to select the dropdown to select my policy (JT Testing is my example), but if I select the default "new meeting" or "schedule meeting" in Teams, or even make a Teams Meeting in Outlook. Also, from the documentation I'm a little confused if I should be able to see the template while creating a new meeting in Outlook. I've read it can take up to 24 hours to see the template, I'm 22hours in, but after about .5 hours I was able to see the template. It just seems the default policy is not changing.
So to recap:
- Is there a way to make my Meeting Policy Template the default for a user across all new meetings?
- Should I see the option to select a meeting template from inside the latest version of Outlook included in MS 365 apps for enterprise?
TomMucha1 While you ca't (currently) change the default meeting template, I'm pretty sure you can achieve what you want through assigning that user a default sensitivity label that then mandates recording. I've set up a test in my tenant to do this but it will take 24hrs to be able to validate.
I created a label that enforces recording like this
Then a labelling policy that is assigned to a specific user that mandates the use of that label
I'll let you know in the week how it works out ...

- Thanks Steven, I saw this as an option as well but that's a license on top of a license for the use case we're looking for. Client has an E3 level plan, so this would require a Teams Premium AND some kind of compliance licensing to get the sensitivity label. Lot of money just to enforce recordings so we might just suggest another meeting platform, was hoping to find something in Teams without making it cost a fortune.
TomTomMucha1 What's the requirement exactly? This feature isn't really forcing recording as opposed to defaulting recording being enabled.
If your client's requirement is to record meetings and calls for legal purposes then it's not the right tool, and you should use a certified compliance recording solution, there's a list at Introduction to Teams Policy-based Recording for Calling & Meetings - Microsoft Teams | Microsoft Learn.
- I don't think you can apply a meeting template to an individual as their default. Instead, you could set up a separate meeting policy for that user.
HelloBenTeoh I only see the option to allow recording in a meeting policy, not enforce them. I was hoping it would be that easy 🙂
