Small Company Teams Setup Help Please.
- DeletedMay 23, 2023
Hi GlennSharpe ,
To set up your small business phone system using Microsoft Teams, you'll need a combination of licenses and configuration settings. Here's a step-by-step guide on how to achieve the setup you described:
1. **Assign Microsoft Teams Phone System licenses**: Ensure that each user who needs to make and receive calls has a Microsoft Teams Phone System license assigned to them. This license enables the calling capabilities within Teams.
2. **Get Direct Routing or Calling Plan**: Since you mentioned you've already purchased a domestic call plan, it seems you have opted for the Calling Plan option. This allows you to make and receive calls using Microsoft Teams without the need for additional infrastructure. If you prefer more flexibility, you can consider Direct Routing, which allows you to connect Teams to your existing telephony infrastructure.
3. **Port your existing company number**: If you want to keep your current company number (01268 5*****), you'll need to port it to Microsoft. Contact the Microsoft Teams Phone System support or your service provider to initiate the number porting process.
4. **Set up Call Queues**: In Microsoft Teams, you can configure call queues to ring multiple users simultaneously. This will replicate the behavior of incoming calls ringing all 3 phones at once. To set up a call queue, you'll need to access the Microsoft Teams admin center and follow the instructions for creating a new call queue, assigning users, and specifying the behavior for incoming calls.
5. **Configure Call Transfers**: Within Microsoft Teams, you can easily transfer calls between users. During a call, click on the "Transfer" button and select the recipient from the list of available users. The call will be transferred to the selected user.
6. **Configure Outbound Caller ID**: To ensure that outgoing calls from any of the 3 phones display the company number (01268 5*****), you need to configure the Outbound Caller ID settings in the Microsoft Teams admin center. Set the desired caller ID to your company number, so it appears when making outbound calls.
7. **Assign Phones to Users**: If you have physical phones for the reception and office desks, you'll need to assign them to the respective users. This can be done in the Teams admin center by associating each phone's MAC address with the user's Teams account.
8. **Enable Simultaneous Ring**: To allow all 3 phones to ring simultaneously, you'll need to configure the simultaneous ring setting for each user. In the Teams admin center, go to the user's settings and enable simultaneous ring. This way, when a call comes in, all phones associated with that user will ring.
9. **Consider Teams Rooms or Devices**: If you want to enhance your meeting room capabilities, you can explore Microsoft Teams Rooms or dedicated Teams devices. These devices provide seamless integration with Teams and offer features like meeting room control, scheduling, and content sharing.
