Bookings not recognising Free/Busy time

I just set up Bookings and did a test to see if an existing busy appointment would be recognised and prevent booking during those hours. It permitted a conflicting appointment. Does Bookings take a while to sync busy/free time or is there some other kind of issue here?

David-B - Since this thread has been going for 5 years, I wanted to share how I was able to resolve this issue! Use at your own risk. (Note: Screen shots below do not show private student information.)

I work as an academic advisor for a state university in Minnesota. Our team bookings page (College of Individualized Studies) uses "Custom Hours" and anyone on the internet can schedule. (I'm assuming these options would be favorable for similar departments/units.

Two steps fixed the problem with free/busy time not showing:

    1. Calendar Permissions (I used the desktop version of Outlook) must be set for the "Anonymous" name with "Free/Busy time," under "Read", then. . .
    2. Publish a Calendar by clicking "Publish Online" (desktop version of Outlook), choose "Publish this Calendar", select your calendar from the drop down menu under Publish a Calendar, choose "Can view when I'm busy" and click "Publish."

    What Happens Next?

    Go to Bookings on 365...

Click your shared booking page and this screen appears...

Nothing will appear. BUT it will if you click "Staff", which is the fourth choice down the left navigation panel, you'll arrive here...

Then click the tab "Calendar and Availability" and... BOOM

It's not the easiest fix, but it works. You won't have to keep flipping between your Outlook calendar to book for a client/student and make a conflicting meeting.

I have the same as you with your fix. But I can´t see it on the booking site. Can you or do you then need to update the booking availability manually?

I was having trouble with this and found the culprit was "Custom hours"

This change may not help everyone, and is something that may need to be adjusted/fixed by Microsoft

To change this setting navigate to

Services > [Affected service] > Edit service > Availablity options > General avilability

If this dropdown is set to "Custom hours", it will ignore the staff member's calendar even if it is enabled elsewhere
    Change this to "Business hours"

You can modify the business hours for all services under
    Business information > Business hours

Ich hatte das Problem auch, konnte es aber wie folgt lösen: In Outlook unter DATEI > OPTIONEN > KALENDER > KALENDEROPTIONEN > Frei/Gebucht-Optionen die Berechtigungsstufe von MyOrganisation von KEINE auf KANN ANZEIGEN, WANN ICH BESCHÄFTIGT BIN ändern. Danach klappte es bei mir.

Thank you so much. This was exactly what was happening with my users also and explained why it only affected some of them. For anyone who needs the English Translation:
"I also had the problem, but was able to solve it as follows: In Outlook under FILE> OPTIONS> CALENDAR> CALENDAR OPTIONS> Free / Busy Options, change the authorization level of MyOrganisation from NONE to CAN SHOW WHEN I AM BUSY. Then it worked for me."

This didn't work for me. I am still able to book meetings when I know the calendar says they are busy? does anyone else have any other ideas?

  • The integration of Microsoft Bookings with your Office 365 personal calendars should be live now and ready to use in both the web and the app. Please give it a try and let us know of any feedback.

Chandresh JainI I  work with the IT at my University and some faculty are having issues with MS bookings. When they set there appropriate times and days for office hours, it populates a different date and time for the public to. Please we would need some troubleshooting or solution to this issue. I already looked this issue on the web but can't find an answer.

One needs to ensure the proper time zone is selected for each user.

And that the Calendar Events affect availability is checked.

Chandresh Jain - Hello - I just setup Bookings but am having this same problem - nothing from my Office 365 Outlook is showing on my Bookings calendar as Busy, it's all just blank and Available, leading to conflicting appointments be set. I see this was supposed fixed 3 years ago - is there something I need to enable somewhere to allow this integration?
