    Hopefully, you can find all the answers in this message. Sorry that it's a bit long, but I felt it was necessary to explain each topic in more detail to make everything clear. 😅


    Proof of Concept (PoC) setup:

    Currently, Microsoft 365 Copilot does not support a traditional Proof of Concept (PoC) approach. As Copilot operates fully within the Microsoft 365 cloud and is deeply integrated with services such as SharePoint, OneDrive and Teams, it cannot be deployed in an isolated or separate test environment. Instead, organizations typically perform a limited production rollout by assigning licenses to a selected group of users. This enables real-world testing during daily work, within the organization’s existing Microsoft 365 environment.

    While a traditional PoC is not possible, organizations can use this initial phase to assess their data exposure. For example, they can identify overshared files using tools like SharePoint Advanced Management (SAM) and Microsoft Purview. It's important to understand that Copilot respects users' existing access rights - it can surface any information a user is authorized to see, even if the user is not actively aware of having that access.

    Therefore, a "PoC" for Copilot is essentially about purchasing and assigning licenses to selected users and ensuring that your data and security practices are in place. Data security and governance are critical, as Copilot relies entirely on the quality, accessibility and protection of your existing data.


    Implementation:

    After the initial limited rollout, the full implementation focuses on expanding access to a broader group of users and integrating Copilot into everyday workflows. This involves continuous monitoring of adoption, fine-tuning security and compliance configurations as needed and providing ongoing user enablement through training and best practices. Implementation is not just a technical exercise; it also includes change management efforts to help users maximize the value of Copilot in their daily work. A phased approach is recommended, scaling Copilot usage based on readiness and feedback from early adopters.


    User Acceptance Testing (UAT):

    There is no separate UAT environment for Microsoft 365 Copilot. Since Copilot uses real data based on users’ existing permissions, creating a new tenant for testing would not provide meaningful results. UAT is therefore carried out in the live environment during the limited rollout, focusing on validating data retrieval, compliance adherence and user experience. Feedback from this phase helps fine-tune settings before broader deployment.


    Data Storage:

    Microsoft 365 Copilot processes and stores data entirely within your organization's Microsoft 365 environment. Your content stays where it already resides, in SharePoint, OneDrive, Exchange Online or Teams and is not moved or duplicated outside your tenant.

    For organizations based in the EU, Copilot adheres to the Microsoft EU Data Boundary, meaning both data and Copilot interactions are processed within EU data centers. Similar data residency commitments apply for other regions, following Microsoft's standard practices.

    All data is protected by Microsoft's security measures and governed by existing compliance and privacy policies, such as Microsoft Purview Information Protection and DLP.

      Hope you are doing well and I can see that you are trying to generate Teams Meeting Minutes .

    Requirements :

    Microsoft 365 Copilot license (E5 + Copilot add-on, or Microsoft 365 Copilot SKU)

    Teams Premium may be needed for advanced meeting features (not strictly required for all Copilot scenarios)

    Copilot enabled tenant-wide via Microsoft 365 Admin Center

    Data storage :

    Copilot uses Graph APU to access emails chats and meetings 
    Meeting recaps (minutes, summaries) are stored in the Teams meeting thread (Calendar/Recap tab)

    Transcript & recording stored in OneDrive (for organizer) or SharePoint (for channel meetings)

    Note : Copilot does not train on your data and data is stored within your M365 Tenant respecting compliance ,retention and DLP policies
