Need suggestions for managing email signatures organization-wide

You're running into a very common issue. Outlook's native signature settings are per-user and don't offer any centralized management, so once you're past a handful of employees, keeping branding and contact details consistent becomes nearly impossible to enforce manually.
On the native side, Microsoft does offer transport rules (mail flow rules in Exchange Online) that can append a signature or disclaimer to outgoing mail. It's free and works for basic use cases, but it has real limitations: signatures get added at the bottom of the email thread (not below the reply text where people expect them), formatting control is limited, and you can't easily do per-department or per-role templates without a lot of rule maintenance.
For anything beyond that, most organizations end up looking at a third-party signature management solution, mainly because they offer centralized template design, role/department-based rules, automatic sync of updated contact details from Azure AD, and proper signature placement in replies rather than just at the bottom of the thread.
We've used Sigsync Office 365 Email Signature Software for this, and it's worked well for centralized deployment, template control, and keeping signatures updated automatically as user details change, so employees aren't relying on manual updates.
Worth weighing the built-in transport rule approach against a dedicated tool based on how much control and consistency you actually need across departments.
