The way you guide your agent – what you ask it to do, how you frame the task, and the context you provide – can make all the difference between a helpful assistant and a confused one. The good news? It’s easy to get it right with a little planning.
Here’s what works:
- Building your agent: Before you begin, learn how to build SharePoint agents. You can check out the quick steps in the section below titled, “How to build your first SharePoint agent,” or watch this video for more information.
- Plan ahead: What will your agent primarily be used for – completing tasks like content generation, or offering advice on a specific topic, similar to consulting a subject matter expert? Will it serve an individual, a team, or your entire organization? Knowing this upfront helps you apply the tips below more effectively.
- Define its purpose: Just like a job description clarifies role, your agent needs a clear mission. Be specific. Instead of “Help with public speaking,” try:
“Your task is to equip spokespeople with localized, contextual insights for internal and external speaking engagements, such as media interviews or presentations.”
Be specific in the instructions you give your agent for the best possible outcomes
- Be detailed on output: Clearly describe what you expect from the agent’s responses, especially for content generation tasks. For example, if the agent’s purpose is to create social media posts, specify the desired length, format, tone, and key messages in the instructions.
- Set boundaries: Clarify what the agent should and shouldn’t do. For example, “Only use approved messaging from the FY25 brand guide and avoid referencing unreleased features.”
- Set the tone: Define the agent’s voice and style to ensure consistent, on-brand communication. For an agent supporting executive communications, you might say:
“Your tone is professional, insightful, and strategic. Communicate clearly, offering structured responses with practical takeaways. Always prioritize actionable advice, backed by your content sources.”
These small tweaks can dramatically improve the quality, relevance, and trustworthiness of agent responses. With practice you’ll find greater efficiency and effectiveness in creating custom agents.
How to build your first SharePoint agent
Creating your own SharePoint agent is just a few clicks away. Whether you're a marketer optimizing campaign content, an HR lead scaling onboarding, or a finance analyst surfacing insights from reports, agents can help you instantly unlock the value of your content.
To get started quickly:
- Create an agent scoped to your content. Choose specific files and folders for your agent to reason over, and click the “Create an agent” button. Save and start using it immediately, or customize it further with the agent builder.
- Tailor the agent’s brand and behavior. Give your agent a name, image, and description to make it easily recognizable. Add more SharePoint sources and configure its behavior via the instructions section.
- Share and collaborate easily. Share your agent via a link or embed it in a Teams chat. Just like other Microsoft 365 apps, you can send a link by email or @mention the agent in Teams to enable direct collaboration and knowledge sharing.
Licensing Options: Choose what works best for you
Getting started with SharePoint agents is easier than ever. Whether you’re ready to commit or just want to experiment, there is a licensing model to fit your needs:
- Microsoft 365 Copilot license: Ideal for organizations planning to scale Copilot usage across teams and departments. This license unlocks full access to Copilot capabilities, including SharePoint agent creation and management.
- Pay-as-you-go billing: Perfect for teams that want to try agents without upfront commitment. You only pay for what you use, making it a flexible option for pilots or experimentation. Learn more about consumption-based pricing for SharePoint agents.
To help manage costs and avoid surprises, admins can now set billing limits for pay-as-you-go usage. This ensures predictable spend and gives teams more control over their experimentation and rollout plans. See how to configure billing policies and limits.
Product enhancements
We’ve been hard at work improving the agent experience in SharePoint. Here’s what’s new:
- Quality Response Updates: Agents now deliver more accurate, context-aware answers thanks to improvements in grounding and reasoning.
- Departmental Billing: Organizations can now track agent usage by department via billing policies, making it easier to manage costs and demonstrate ROI.
- Agent management: Starting in September, admins can now manage SharePoint agents as shared apps within the Integrated apps section of the Microsoft 365 admin center. These agents are integrated with other Copilot agents, allowing admins to oversee them from a single, centralized location. New controls in the Shared agents tab make it easy to block or unblock agents directly, streamlining governance and reducing overhead.
- Easier access in Teams and Copilot: Expect to see a wave of new capabilities for using agents directly in Teams and Copilot also rolling out in September, including:
