In Part 0 and Part 00, I spoke about education and the fragmentation of Microsoft 365 — the hidden roots behind these proposals. Now, let’s pause the theory and reflect on the everyday feeling of Copilot Pages. Every morning, when I open Copilot Pages at the office, the screen feels like a cloudy sky — gray, heavy, uninspiring. Especially after a bright commute, that contrast makes the mood even heavier. But as the all-in-one entry point, Copilot Pages deserves a better face. Even a small design touch could turn the morning start from cloudy gray to a welcoming blue sky. For example: letting users choose their own expression — colors, subtle motions, seasonal themes. Impact Shifts Copilot Pages from “a tool I must open” to “a partner I want to open.” Adds motivation and positivity to daily routines. Proves that UX is not only about efficiency, but also about atmosphere and mood. 👉 Stay tuned for Part 5! We have recently launched a Viva Engage Community at our university to support the adoption of MS365 Copilot and are in the process of having this converted to a 'Microsoft 365 Copilot adoption community' type (see: https://learn.microsoft.com/en-us/viva/engage/engage-365-copilot-adoption-platform) as we didn't know this Community type existed at the time of creation. We are finding Viva Engage to be a very helpful way to exchange knowledge and co-create best practice guidance on the use of MS365 Copilot and feel this will become increasingly important as staff learn to create, publish and share Agents in SharePoint and other environments. I would be interested to hear how other organisations are using Viva Engage to support MS365 Copilot adoption - particularly those working in higher education or similar fields.Episode 0: Learning Order Matters — Vision → Storage → Apps
I first encountered Microsoft 28 years ago, when I changed jobs. Since then my routine was simple: Outlook for mail Excel for data PowerPoint for reports Save everything to the Z or D drive That felt “enough.” Other apps? Honestly, unnecessary. Two months ago, I heard our company would move from the Z drive to the “Z Cloud.” To understand what that really meant, I began studying Microsoft 365. At first, I tried to learn app by app. But the more I studied, the more confused I became — the big picture never appeared. That’s when I realized: the learning order is completely backwards. The right order is clear: Vision → Storage → Apps. Vision: Why these tools exist — Microsoft’s mission and future direction Storage: Where the data truly lives — OneDrive, SharePoint Apps: How each app connects to that storage Two months with this mindset gave me more clarity than decades of app-first habits. Corporate training fails for the same reason: it starts with apps. 👉 That’s why Microsoft must redesign education around Vision → Storage → Apps. But education alone is not enough. Only with the right UX/UI in Copilot Pages can that education truly support users in practice. Next: A wish for Microsoft. In Part 2, I focused on the vertical sidebar UX for personal work — helping individuals stay organized and avoid confusion. But in meetings, the challenge is even bigger: participants open different files, the view fragments, and the team quickly loses alignment. I’ve tested this myself by lining up apps in the current sidebar. But that model is essentially personal: files still open in separate windows, there is no unity, and meetings feel disrupted. That’s why Part 3 introduces a dedicated dynamic sidebar for meetings. With Copilot Pages as the hub, this sidebar integrates all participants’ files into one vertical scroll: Shared visibility – instantly see what others are viewing. No interruptions – because all participants’ files are shared, there’s no need to stop and search. Continuous flow – no screen switching; one unified view where discussion never derails. The breakthrough is clear: you never have to close the meeting screen. All participants’ files remain visible, and even files opened later are added automatically without disrupting the presenter. Benefits Meetings run without disruption; context is never lost. Alignment is automatic: the entire team stays in sync. Deleting AI developed meeting recaps
Hello, We have recently begun utilizing the meeting transcript and AI generated transcript functionality for our meetings. However, we can discuss potentially sensitive information on our calls and so we would like to understand how to delete the AI notes from the recap once we have had adequate time to digest and review. I can see how to delete the full transcript, but I do not see an option to delete the AI meeting notes. And we need to confirm that once deleted they are cleared for good and cannot be deemed discoverable. Thank you for help that anyone can provide.
