If i needed to adjust the questions in my form how will the previous answers be affected? I need to rearrange some of the questions in my form (for vehicle maintenance) if i move the location of the answer will it affect any previous answers? I also need to sync the workbook that the form responses go to on share point to our vehicle maintenance excel spreadsheet saved on Dropbox to a historical sheet. How can I connect the forms so when new responses are submitted, they will auto populate a copy of the response to our Dropbox excel workbook on the correct worksheet?48Views1like0CommentsMS Forms Access & Roles
Dear Community, Previously, an MS Form created by a past intern was lost when he left the company because he was the sole owner. To prevent this from happening again, I would appreciate if you could help with some clarification on a few points: Ownership I understand that, to avoid this mistake, ownership has to be shared and sharing or allocating the MS Form within a Teams Channel can help prevent ownership issues. Am I correct? Would the same approach work if the form was shared within a SharePoint or another platform? Is there a recommended best practice for this? Roles and Permissions How can I ensure that certain individuals are designated as owners (with editing and viewing rights), while others are restricted to only filling out the form without accessing submitted responses? Continuous Access and Updates for Submitters Is it possible for individuals who fill out a form to retain a copy of their submission and have the ability to update it later? If so, how can this be configured? Not sure if these are easy tasks, I came across multiple opinions and techniques online but it's still confusing. Since recently, it's possible to get a "pre-filled URL" for a form, where some answers are pre-filled using a get parameter. However, this does not override values from a previously filled form, if that form as not submitted. For example, if the user has a form half-filled and unsubmitted this state is stored in the browser; and if a link is to pre-filled form is used, only the fields that were empty in the browser state are filled in! There may be a usecase for this, but it would be valuable to allow a pre-filled link in such a way that it fully initializes the state of the form. Additionally, it would be great to hide certain pre-filled fields from user input. Is this possible to do somehow? Hi there, I have what seems like it should be a simple/common request, to only allow a small group of users in a tenant to create/manage Forms, but still enable all internal users to respond to Forms. - Looking at Microsoft's https://learn.microsoft.com/en-us/microsoft-forms/set-up-microsoft-forms#configure the only way this can be disabled for some users but not others is via the M365 Admin Center but would need to be done individually user-by-user, no good for hundeds of users as it could take several monotonous hours, but looking so far like my only workable option. - I've looked into a PowerShell solution to this but have been unable to achieve something that disables that property for all users except one group. - Another suggested option might be to create a conditional access policy in Azure AD / Entra Center, however this would restrict general users from responding to Forms content - the requirement is to only restrict the creation/management of Forms for most users. My form was first created under my personal form and the feature to allow respondents to edit their responses was working fine. After I've moved my form to Group Form, my users were not able to edit their forms anymore. Is there a solution to enable back that feature under Group Form? Can pls help and advise?
