Microsoft Information Governance and Records Management AMA
Event details
We are very excited to announce our Microsoft Information Governance and Records Management AMA!
An AMA is a live text-based online event similar to a “YamJam” on Yammer or an “Ask Me Anything” on Reddit. This AMA gives you the opportunity to connect with Microsoft product experts who will be on hand to answer your questions and listen to feedback.
Feel free to post your questions about MIG or Records Management anytime in the comments below beforehand, if it fits your schedule or time zone better, though questions will not be answered until the live hour.

- matthewschmittCopper ContributorIs there currently any way to change the "Configure record versioning" and "Allow editing of record properties" settings within the Compliance Center to be based on a specific site collection and not for the entire tenant. In most cases we like the ability for end users to have the ability to unlock the record label on documents/folders to be able to edit. But we have cases where those two specific settings listed above would be effective for not allowing end users to edit anything on specific sites.

Hey Matthew! This is not currently possible, however we do recommend submitting a feature request/change via a Design Change Request (DCR) through support.
- SteveTreloarCopper Contributoro365 Mailboxes on Litigation Hold for many years can fill the Recoverable Items folder to the point where normal messages and calendar updates fail to be delivered/sync’d. The fix is to apply archiving and Start-ManagedFolderAssistant on the mailbox. Eventually the Archive will fill. My Question is, is there a better band aid for this situation?
- Brendon Lee
Microsoft
Hey Steve, We recommend you use online archiving with the auto-expanding feature enabled, which will allow the archive mailbox to expand up to 1.5 TB across both the user visible and recoverable items content: https://docs.microsoft.com/en-us/microsoft-365/compliance/autoexpanding-archiving?msclkid=1337c4e6af8111ec80698f87ab80b7d7&view=o365-worldwide
- IsraGigCopper ContributorHi, at the end of a retention period for a document, a disposition review is triggered (we are using retention labels). In the disposition tab, some actions are possible, such as re-labelling or deleting. That is great, however, we also ave some documents that are required to be sent outside of our organisation. We need a way for our archivist to find and select all documents that are expired (rentention period ended), manually review them and then store them somewhere in a library of the SPO site awaiting to be sent over to the outside organisation. Is there any way inside the compliance center where this would be possible?

Hey Israel - We have a new feature that is coming soon that will allow you to create a Power Automate flow which executes at the end of a retention period. This could theoretically also move/copy a file with the right flow configuration/permissions: https://www.microsoft.com/en-us/microsoft-365/roadmap?filters=&searchterms=88816- IsraGigCopper ContributorVery nice. I think this will probably be the solution for what we are trying to acheive. Would you have any advice on how we should proceede temporarily while we wait for this feature to be added?
- Dan MyhreIron ContributorWhen will retention labels get all of the capabilities of Exchange retention tags? Is the goal to get this fully moved over to the compliance center?
- EricaToelle
Microsoft
Hi Dan, there are two places we recommend using Exchange MRM policies:
-
An archive policy for archive mailboxes to automatically move emails from a user's primary mailbox to their archive mailbox after a specified period of time. An archive policy (with any settings) can be used in conjunction with a Microsoft 365 retention policy that applies to a user's primary and archive mailbox.
-
Retention policies applied by an admin to specific folders within a mailbox. A Microsoft 365 retention policy applies to all folders in the mailbox. However, an admin can configure different retention settings by using retention labels that a user can apply to folders in Outlook as a default retention label.
Currently, we don't have plans to replace this functionality in the compliance center.
- Dan MyhreIron ContributorPerfect, thanks for the update. Those are specifically the two features I was referring to 🙂

- MarvinPCopper ContributorHelp with a Customer Issue, Has anyone seen this problem with Exact Match? Essentially what was happening is that the EDM SIT we were creating would error out if a custom SIT was assigned to detect a searchable field. The error message just returned the name of the custom SIT, and the diagnostic information with it had no details. The customer created the same EDM SIT with the same custom SIT earlier that day in the customer’s dev tenant, and did not encounter the error. We (the consultants) tested assigning a custom SIT to a searchable field in an EDM SIT and did not experience the error in our MSDN tenant. The problem seems specific to the customer’s prod tenant. In the customer’s prod tenant, we were able to create the EDM SIT with out-of-the-box SITs assigned to searchable fields, but when we went back to change the OOTB SITs to custom SITs, we received the error as well. I will note too that we had made a change to the custom SIT we were using 30-45 minutes prior to assigning the SIT. I’m unsure if this may be the cause of the error.

Hi Marvin - we're not answering MIP-specific questions on this AMA but please feel free to post this to the general discussion thread here: https://techcommunity.microsoft.com/t5/security-compliance-and-identity/bd-p/SecurityandCompliance
- Dan MyhreIron ContributorAre there any plans / updates on when we will get information barriers in our dev tenants? This is needed for testing
- EricaToelle
Microsoft
Hi Dan - This is not my feature area, but Information Barriers should be available in all tenants. I can see it all my prod and dev tenants.- Dan MyhreIron ContributorIt isn't currently included in the developer tenant licenses (it isn't a normal M365 E5). You see the node in the menu but are missing the "Policies" and "Policy Application" sub-menus, which is where all of the functionality is. And the PowerShell cmdlets are missing when you connect to a dev tenant.
- PankajWBBrass ContributorWe are currently unable to approve destruction of more than 600 items pending disposition from the Compliance Center. We receive multiple errors during the process. Some of our labels have move than 100K records due for destruction and as soon as we implement labels in the recently migrated projects records sites, we will have several million records due for destruction. Per MSFT support, the limit for bulk deletion is 500 items and this doesn’t work for us to destroy records at scale. Any thoughts how we work around these limitations?
- Roberto_Yglesias
Microsoft
As you mention, the supported limit is 500 items for bulk approval or deletion through the UX, we're working on new APIs which will enable further automation in cases when you need larger quantities of items to be approved. For any design change requests you could also contact support and submit your suggestion/request. - Thomas_GremoCopper ContributorRelated to this question, we have also seen an even lower limitation (200 items) in relabeling items in bulk.
- Meraj_AhmedCopper ContributorI am new to this Records & Information Management forum.. there is lot's of definition for "Records" and "Record keeping system" online available What is "Record" and "Record keeping system" definition by Microsoft?

Correct as replied before, our documentation is the best place to find this. - zl88pz-n3t w3k-d3Copper Contributorhttps://docs.microsoft.com/en-us/microsoft-365/compliance/records-management?msclkid=a6fd3806af8011ec84062c310d3b29b9&view=o365-worldwide#records

- NRuestCopper ContributorHi, I'm trying to build an automation in SharePoint that moves documents from a source library to another one when a specific retention label is applied. The problem is that I am not able to use any odata filter query or condition on the retention label column. Any idea how to get this to work?
- Roberto_Yglesias
Microsoft
You should be able to filter on the internal name of the column "ComplianceTag".- NRuestCopper ContributorI tried that and it replies "Column does not exist"
