Text missing when printing in Office 2016, but appears fine in Print Preview

The Problem: When I send the document to print, certain parts of the text are missing on the printed page. However, everything looks completely normal in Print Preview. Consistency: This happens across multiple different printers, and the behavior is identical every time. Version Difference: The issue occurs on computers running Office 2016, whereas the exact same document prints perfectly fine on Office 365. What is even stranger is that the document prints correctly on some PCs with Office 2016, but fails on others. What could be causing this discrepancy, and how can it be resolved?

I have the exact same font issue when converting to PDF. The only workaround is opening the WORD document in the WEB version, which fixes it. I tried installing the exact same fonts that work on my working computer.

Because the same document prints correctly on some PCs, focus on differences between those computers—particularly fonts, Office builds and printer drivers—rather than assuming the document is damaged.

On an affected PC, export the document to PDF and check the missing passages:

    • Missing in the PDF too: compare the fonts and exact Office 2016 build with a working PC. In a copy of the document, change one affected passage to Arial or Calibri and test again. If that fixes it, investigate a missing, substituted or damaged font.
    • Present in the PDF, and the PDF prints correctly: use that as a temporary workaround. The problem is more likely in Office’s direct printing path or its interaction with the driver. Compare driver versions with a working PC.

If this is Word and the missing text is inside text boxes or shapes, also check File > Options > Display > Print drawings created in Word.

If fonts and settings match, try an Office repair on one affected PC. Office 2016 reached end of support on October 14, 2025, so moving to a supported version is the longer-term solution if this turns out to be an unresolved compatibility issue.
