Export the entire contact list from my iPhone to excel or csv on windows?

Hello,

For data safety, it is necessary to export the full contact list from my iPhone, but not sure what the best method is. I want to back up all contacts and possibly move them to another phone, computer, or email account later.

Ideally, I'd like to export everything as a file, such as VCF/vCard or CSV, instead of copying contacts one by one. I know iCloud may have an option for this, but I'm not sure if it exports every contact, especially if some contacts are stored under Gmail, Outlook, or only on the iPhone.

Has anyone here done this before? What is the safest way to export contacts from iPhone to excel or csv without losing names, phone numbers, email addresses, notes, and other contact details?

    iTunes + Windows Contacts -- This method works by using iTunes to sync your iPhone contacts directly into the Windows Contacts folder on your PC. The "Windows Contacts" folder is a free, built-in contact manager that comes with Windows 11, Windows 10, and earlier versions of Windows. Once your contacts are safely stored in Windows Contacts, you can then export them as a CSV file. A CSV file can be opened in Microsoft Excel, Google Sheets, or any spreadsheet program. This means you can view, organize, print, or back up all your contacts easily.

    How it works:

    1. Connect iPhone to PC with iTunes installed

    2. In iTunes, go to Info > Sync Contacts with Windows Contacts

    3. Windows Contacts imports your contacts

    4. Export from Windows Contacts as CSV.

    Trade-off: This requires iTunes and a Windows PC.

    Step 2: Find and tap the contact you want to export. This opens their details card.

    Option A: Use Windows Built-in Contacts (100% Free, No Uploads)

    If you have a Windows PC:

    Press Windows + R, type %userprofile%\Contacts, press Enter

    Click Import in the toolbar, select vCard, and choose your .vcf file

    After import completes, click Export in the toolbar

    How to export contacts from iphone to excel:

    1. On iPhone: Go to Settings → [Your Name] → iCloud → turn on Contacts, choose Merge when prompted.
    2. On PC: Go to iCloud → sign in → open Contacts → select all → click the gear icon → Export vCard.
    3. You can directly open the exported vCard file in Excel, and Excel will automatically parse all contact content into a table.

    Cosn

    • Older versions of Excel may not fully recognize or parse vCard files.
    • Contact information may be scattered across disorganized columns and require manual reorganization.
    • After importing, certain custom contact fields, notes, and special tags may be lost.
    • Duplicate contacts cannot be automatically split in bulk and must be cleaned up manually.

    Before syncing your contacts to the software, make sure your iPhone is connected to a stable Wi-Fi network.

It is lightweight, easy to import/export, and safer for moving contacts between platforms. The downside is that CSV may not preserve complex contact fields very well, such as multiple phone labels, contact photos, birthdays, notes, or groups.

    Excel format (.xlsx) is better if you mainly want to view, edit, sort, or clean up contacts on a computer. It keeps columns neat and is easier to manage manually. However, it is not always the best format for importing contacts back into iPhone, Gmail, Outlook, or Android because some apps prefer CSV or vCard.

    For iPhone contacts, the best format is actually vCard/VCF if you want a full backup or plan to import the contacts back to another phone. VCF is designed for contacts and can preserve more details than CSV.

    Simple recommendation:

    Use VCF for backup or phone-to-phone transfer. Use CSV if you want to open and manage contacts in Excel or Google Sheets. Use Excel only if your main purpose is editing and organizing the contact list manually.
