Data Retention for Former Employees

How are other organizations configuring the Viva Glint's ‘Retain survey responses and identifiable data for deleted users’ settings? Are you retaining former employees' identifiable information for historical reporting, or deleting their data when they leave? What factors did you consider when making the decision?

  • Because the slowdown is intermittent, diagnose it while it is happening. Open Task Manager, sort Processes by CPU, Memory, Disk, and GPU, and note which resource is saturated; then check Performance and Resource Monitor for the process or drive. Record the time, symptoms, and update history so you can correlate them with Reliability Monitor and the System and Application logs in Event Viewer. Next install Windows updates and Microsoft-offered optional drivers, free storage space, disable unnecessary startup apps, and retest after a clean boot. Run Windows Security’s full scan and Windows Memory Diagnostic if freezes or memory errors appear. Manufacturer diagnostics can then check the SSD, memory, battery, and thermals, but use Dell’s official tool for your service tag. Windows 10 support ended on October 14, 2025, so plan an eligible Windows 11 upgrade or supported replacement rather than treating Windows 10 tuning as a long-term fix.

  • This setting determines what happens to a deleted user’s survey data, so the right choice should follow your organization’s privacy and reporting requirements rather than another tenant’s convention. When retention is on, survey responses and identifiable attributes remain. When it is off, Glint removes both after the soft-delete period; that can affect historical trends, exports, and investigations. The setting is platform-wide, changes are not retrospective, and permanent deletion cannot be undone. Before changing it, have your privacy, legal, HR, security, and records teams agree on the purpose, lawful basis, minimum retention period, subject-request process, and who may access identifiable results. Map deletion sources, including Microsoft Entra ID, and test the leaver workflow with a non-production identity. Document the decision and update employee notices. Also review Microsoft’s notice about paused processing of Entra deletion signals through September 30, 2026, and use the documented manual deletion process for time-sensitive requests.
