Library with check out required now can't give edit access

Hi,

Is it correct that a document library where check out is required to edit a document means that it is no longer possible to click the Share icon for a specific document and give a person edit access?

Of course to edit the document they would have to check it out, but surely a user with their own Edit permissions or Full Control permissions should be able to give another user Edit permissions.

 

We need to maintain the check out a document to edit it as people were accidently creating drafts all the time.

Any advice, confirmation of this is the correct behaviour and not a bug appreciated.

    grant_jenkins​ I agree it should be considered a bug.  I find it absurd that this would be designed this way.  The sharing option giving Edit access still needs to exist as now people can't self service and instead have to contact their IT team to share individual documents, so then you have to break inheritance with the folder permissions and now you have really convoluted un-intuitive permissions.
    Also it appears people with edit access can't move documents to another folder.  Again this takes away users ability to self service and moves all the admin back to the IT team.

    The concept of having to check out to edit seemed a good way to stop people accidently creating drafts, it should be stopping all this other functionality.

    Microsoft don't state these limitations in their documentation about the Check Out functionality.

    It’s worth double-checking that no other settings are contributing to this symptom. For instance, site owners can disable item sharing for members (via Access Request Settings or by turning off sharing links for certain groups).

  • Rosie Horn​ I can replicate this issue in my tenant too. I see this as a bug and would suggest logging a support ticket with Microsoft. There is no logical reason this should stop you from sharing with someone with Edit in my mind.

    Yes you are correct that this is working as intended. When a SharePoint library is set up to require check out before anyone can edit a file, it changes how sharing works. Even if you have permission to edit the file yourself, the Share button no longer lets you give someone else edit access. It only shows options like ‘view’ or ‘review with comments. Because SharePoint is trying to make sure only one person is editing the file at a time and that they need to have it checked out first. So if you could casually grant someone else edit rights through the Share button, that would kind of defeat that purpose.

      DChenIT​ I still see this as a bug. If you share a file with someone it gives them certain permissions. And if the library has required check out then that person would need to check out the file first as per everyone with edit rights. There isn't anything in that article that talks about sharing.

      I'll happily log this as a bug with Microsoft. I'm sure Microsoft will say it's by design (all their bugs are by design according to them :D), but it's good to get justification from them as to why, or if it is a bug they weren't aware of then hopefully get them to fix it.
