The New Outlook Notifications for email with rules not working. Missing features
Hi Scott_J945 ,
This is a known and frustrating limitation. While we wait for Microsoft to fix native alerts for subfolder routing, the best workaround is Microsoft Power Automate.
Instead of using an Outlook Inbox rule, you can create a simple, no-code Flow.
It helps organize email just like Inbox rule, directly from the cloud, ensuring you never miss a critical update.
I've attached an example of the Flow I use to replace my failed Outlook notification due to Outlook Inbox Rules.
Here is a breakdown of each step:
Due to Outlook's notification limits, delay moving incoming emails. Instead, let use Power Automate schedule the move.
In my case, the first step is running a monthly housekeeping task (e.g., July 1, 2026) to organize specific emails.
Ensure the 'From' email is exact, and customize other fields like 'Top' as needed.
Keep in mind that Power Automate can only process a maximum of 1,000 emails per run—anything beyond that will be ignored. To move the filtered emails to a specific destination, add the Move email (V2) action. The settings shown below ensure that every email retrieved in the previous step is automatically routed to the MyInvois HASiL folder
Once above stesp completed, Save the Flow.
Above just one of the use case, the whole idea is just use Power Automate Flow and the issue will be resolved.
Hope it helps!
