Notify External Guests of files updated

We have External Guests that are persons outside of our company that we want to collaborate with.

When a file is updated or we want to let persons know about the file(s) being updated, is there no way to do so?

People try to do the Share, yet our company does not allow everyone to have access, only persons in that Teams team to have access to view the file.

Microsoft removed the Teams / SharePoint link so now things ONLY open in SharePoint Online, which is CONFUSING for persons as they think they're in Teams.

Is there a way to allow persons to be notified of files that are updated via a link somehow that will allow them to click on it and open in a Teams web experience or if they have the client to open then.

IF none of that is possible, how would a Workflow be executed in Power Automate to make it easy for people to share the files?

I mentioned to go to the details pane and then click on the link as I demonstrated in the sticky notes, yet it is not as easy and or collaborative.

  • You can have different options here:

    (1) Make use of the standar SPO alerts - You might need to configure them through the SharePoint UI

    (2) Make use of the SPO alert rules - You might need to configure them through the SharePoint UI

    (3) Through a Power Automate Flow you create
