In a SharePoint library, I have folders which are = a. Admin b. Events c. Furniture and Moves d. Janitorial and Maintenance e. Parking and Transportation f. Shipping and Receiving g. Supplies and Equipment h. Waste and Recycling I have Meta data across the library whose data type are all choices and are: a. Document Type = Contract, Financial, planning b. Building = Gym, Garage, Heating c. Asset Category = Office, Playground d. Fiscal Year = FY23, FY24, FY25, FY26, FY27 e. Vendor = Maple Leaf, Canadian Tire, Home Depot f. Status = Active, Pending, Not Active g. Retention Label = 3 years, 5 years h. Service Type = Admin, Events, Furniture and Moves, Janitorial and Maintenance, Parking and Transportation, Shipping and Receiving, Supplies and Equipment, Waste and Recycling Service Type and Retention Label are mandatory fields, with the Rule below for all the files in the various folders: IF Folder Name = Admin, then Service Type = Admin and Retention Label = 5 years; the mandatory fields should be Document Type, Status and Fiscal Year IF Folder Name = Events, then Service Type = Events and Retention Label = 3 years; the mandatory fields should be Document Type, Status and Fiscal Year, Building and Vendor IF Folder Name = Furniture and Moves, then Service Type = Furniture and Moves and Retention Label = 3 years; the mandatory fields should be Document Type, Status and Building IF Folder Name = Janitorial and Maintenance, then Service Type = Janitorial and Maintenance and Retention Label = 3 years; the mandatory fields should be Document Type, Status and Fiscal Year IF Folder Name = Parking and Transportation, then Service Type = Parking and Transportation and Retention Label = 3 years; the mandatory fields should be Document Type, Status and Fiscal Year IF Folder Name = Shipping and Receiving, then Service Type = Shipping and Receiving and Retention Label = 3 years; the mandatory fields should be Document Type, Status IF Folder Name = Supplies and Equipment, then Service Type = Supplies and Equipment and Retention Label = 3 years; the mandatory fields should be Document Type, Status and Fiscal Year IF Folder Name = Waste and Recycling, then Service Type = Waste and Recycling and Retention Label = 3 years; the mandatory fields should be Document Type, Status and Vendor I have used Column Default Value Settings for SharePoint to display Auto-Display the Service Type and Retention Label, but I cannot seem to perform the conditional mandatory fields using Validations setting for the other requirements. I am looking at setting site quotas across our tenancy, to control storage growth by prompting users to think about what they're uploading, and whether old files can be deleted. I set a low quota (1GB) on a test site, with "Allow notifications" checked, and a threshold set. I then stared copying files to the site. The site is currently shown to be at 87% of its quota in SP Admin centre, and above 98% according to the storage metrics, with the threshold set at 80%. If I go to Site Settings, I see a very narrow banner informing me that the site is out of storage space. This is not displayed anywhere else, though, I (as site owner and primary site admin) haven't received any email notifications, nothing is shown outside the settings pages - I can upload another file with no warning. It is now over 72 hours since I started the testing. If site owners need to go to a settings page to see a warning, it is unlikely to achieve the desired effect and will be disruptive to users when sites do unexpectedly run out of space. I have a SharePoint Library where I would like to implement these requirements below and would appreciate your advise: Folders were created at the library level, which looks like the image below. I do not want people to be able to create any folders or upload documents or folders at the library level, but rather only when they open the folders. I have disabled folder creation and created a PowerApps form, so that users can only upload document, edit documents, view details of the documents when they open any of the folders., but I cannot seem to find the Power Apps form when I open any of the folders and try to upload a document or view a document or edit the document details. 2. I have a choice column called Fiscal Year which has options as = FY22, FY 23, FY24, FY25, FY26. By March 2026, I would like to create an automate flow which will auto create FY27 and remove FY22 from the choice, so that the choice column is always limited to only 5 years.130Views0likes3CommentsBulk link updates
First off, apologies if this is in the wrong community. All files are held in the same sharepoint library. So in the library there is an excel file which gets updated a couple of times a year and lets say 20 word fiiles containing roughly 5 links per file referencing 4 ranges in the excel file. These word documents are also updated several times a year. When either the excel documented if updated a new file if generated with a new name which replaces the old one and the old one is archived. The word documents are simply edited and renamed with the old one being archived. I'm looking for a way to update the links in the word documents to pick up the same ranges in the new spreadsheet. As it currently stands I need to manually update each link which is time consuming, prone to error and stupid :-) anyone come across this need and if so how did you solve it? thanks in advanceSolved161Views1like5CommentsSearching on SharePoint Image Gallery only using 'Image Tags'
Hi Our company has an image gallery on Share Point which needs to be user-friendly and efficient. Since we deal with a large volume of images, we are searching for the most effective solution to easily locate the images we need. Although I attempted to use the "Image Tags" column to tag the images, a keyword search on Share Point displays not only tags but also other files and folders containing the word. Hey everyone, I'm running into an issue with the new SharePoint site page template gallery. Some of my templates are showing up consistently, while others appear intermittently — even though all the metadata is identical across them. I've been troubleshooting but can't pinpoint what's causing the inconsistency. For context: I have over 100 templates in the gallery. A template I just created is displaying fine, but one I made last week isn't showing up at all, so I don't think it's a template count issue. Hi all, I’m looking to validate whether others are seeing a recent change to collapsible sections on modern SharePoint pages. Across multiple communication sites in our environment, the expand/collapse icon is no longer rendering inline with the section heading, despite the settings being configured correctly (e.g. alignment set to “Right”). Instead, the icon is now: appearing below the heading defaulting to the left-hand side ignoring the alignment setting in the section properties This change appears to have happened “overnight” and is consistent across all sites we’ve checked, not just a single page or site. Impact We rely heavily on collapsible sections for: knowledge guides FAQ-style content onboarding materials The current behaviour is: increasing vertical spacing unnecessarily reducing scan-ability of pages creating inconsistency between existing and newly rendered content It’s also causing confusion for content authors, as the settings no longer reflect what is displayed. Questions Is anyone else seeing the same behaviour across their tenant? Has this been confirmed as a design change vs a bug? Has anyone found a workaround or mitigation approach? I have already raised this and upvoted it on the Microsoft Feedback Portal and would encourage everyone to do the same if they are experiencing this issue.
