Hi, I’m testing PowerPoint Brand Images with a SharePoint Organizational Asset Library and I’m seeing unexpected behaviour with folders. The image library is registered correctly as an ImageDocumentLibrary. PowerPoint detects the library and all images are visible under All. I created several first-level folders in SharePoint, for example: Photos Icons Logos Test PowerPoint correctly reads these folders and shows them as separate tabs in Insert > Pictures > Brand Images. The issue: the tabs remain empty. For example, I created a completely new folder called Test directly in SharePoint and uploaded a new PNG directly into that folder. Result: Test appears as a tab in PowerPoint the PNG appears under All the PNG does not appear under Test I see exactly the same behaviour in PowerPoint Desktop and PowerPoint for the web. I have already checked: OrgAssetType: ImageDocumentLibrary Private CDN: enabled library registered as Private CDN origin CopilotSearchable: enabled SharePoint Online Management Shell: 16.0.27515.12000 PowerPoint Microsoft 365 Beta Channel, version 2609, build 16.0.20416.20004, 64-bit direct upload through SharePoint instead of OneDrive/File Explorer completely new folder and image manual reindexing of the SharePoint library So PowerPoint finds both the folder names and the images, but the folder-to-image relationship does not seem to work in Brand Images. Has anyone successfully used first-level SharePoint folders as working tabs in the new PowerPoint Brand Images experience? Is there an additional configuration step required, or could this be an issue with folder-scoped retrieval in the current rollout?243Views0likes2CommentsSharePoint security broken between Microsoft 365 group and SharePoint group
Hi, Users are giving Member privilege through Teams, which gave them Member privilege in the Member SharePoint group. All good for 99% of the company. PROBLEM : I have 4 users without access to the SharePoint by this method. Security is not broken between Microsoft 365 Group and SharePoint group and is working fine for everybody else. Strangely, I saw that these 4 users are members of more than 1500+ Microsoft 365 Group, since they have been in the business for a long time and touch many projects here). I heard the limit is 7000 but they still have problem. Using the "Check permission", I got "None" for these people, but "Edit - Given through the XYZ Member group" for every other people in the Microsoft 365 Group. Any advice ? Thanks ! I would like to share some feedback on the recent SharePoint Copilot improvements. As a consultant, trainer, and Microsoft MVP working daily with Microsoft 365 Copilot customers, I am genuinely impressed by the direction SharePoint is taking. For years, we have told customers that successful AI adoption requires strong information architecture, metadata, governance, content organization, and naming conventions. What I find particularly interesting today is that SharePoint Copilot is starting to help organizations build these foundations instead of simply depending on them. Features that assist with site creation, page creation, content organization, metadata generation, metadata enrichment, and automation significantly reduce the effort required to establish a well-structured SharePoint environment. This is a meaningful shift. AI is no longer only consuming well-organized knowledge. It is increasingly helping users create and maintain that organization. From my perspective, this may become one of the most important accelerators for Microsoft 365 Copilot adoption because many organizations struggle more with content structure than with AI itself.65Views0likes0CommentsPosting news article not sending notification to Teams activity feed
Hello I am trying to troubleshoot why when posting a news article it is not coming up in people's Teams activity feed. We have a hub of sites branded as the intranet but they are not news organisation sites. When news posts are published from any site in this hub, people are receiving notifications of news posts in their Teams activity feed. Eg. 'Joe Blogs published news'. On a stand alone communication site, I publish a news post, for the members of that site they do not receive the notification in their Teams activity feed. Some facts We are not using Viva Connections - so there is no home site (no Viva license yet) No sites are news organisation sites Internet sites are not necessarily followed (most people do not follow) so this has no bearing on receiving notification in Teams Notification settings in Teams are not disabled for test users What other steps can I take to investigate why this site not connected to the internet hub is not pushing notifications? It is one example of a site, there are many that do not push notifications as well. Thank you.162Views0likes2Comments🚀 Prompt Tuesday | Write Prompts Like a Pro
🚀 Prompt Tuesday | PT-001 | Create Professional Meeting Minutes with Microsoft Copilot Have you ever asked AI: "Summarize this meeting." The result is often too generic. Instead, assign the AI a role and define exactly what you need. ❌ Basic Prompt Summarize this meeting. ✅ Better Prompt You are an Executive Assistant responsible for documenting meetings. Review the meeting transcript below and generate professional meeting minutes. Include: • Meeting objective • Key discussion points • Decisions made • Action items • Owner for each action item • Due dates (if mentioned) • Risks or blockers • Open questions • Executive summary (5 bullet points) Format the output using clear headings and tables where appropriate. Meeting Transcript: <Paste transcript here> 💡 Why This Prompt Works This prompt gives the AI: Role → Executive Assistant Task → Generate structured meeting minutes Output Format → Headings and tables Expected Sections → Decisions, actions, risks, and summaries The result is a document that's ready to share with your team, with minimal editing. 🤖 Microsoft Copilot Tip If you're using Microsoft 365 Copilot in Teams or Word, don't stop at "Summarize this meeting." Try prompts like: Summarize this meeting for senior leadership. Highlight strategic decisions, unresolved issues, assigned action items, and any risks that require executive attention. Present the output in a concise table followed by a one-paragraph executive summary. Adding the intended audience helps Copilot tailor the response appropriately. 💬 Discussion Question What's the one prompt you use most often with Microsoft Copilot or another AI assistant? We are using SharePoint document libraries with versioning enabled and users provide comments when checking in documents. Is there a maximum number of characters allowed in the Check-In Comment field, and is this limit documented by Microsoft?Solved293Views0likes1CommentExternal Users Unable to Access Microsoft List Form
We have created a Microsoft List and are using the default Microsoft Lists Form for data entry / intake form. Internal users can access the form URL and submit items successfully. However, external users are unable to access the form link, even though they have been granted Contribute permissions to the SharePoint list. External users can: Access the list Create new items using the + New button Edit items based on their permissions However, they cannot access the dedicated Microsoft Lists Form URL and getting following error. This link is only available to internal users. This link is not available to you. Our requirement is to allow external users to: Open the Microsoft Lists Form URL View the form Submit new items without providing additional access beyond what is required for form submission, and without using Microsoft Forms. Is guest/external user access to the Microsoft Lists Form experience supported? If so, what configuration or permissions are required to enable external users to access and submit items through the form URL?Solved416Views0likes3CommentsStoring and organizing performance review data - SharePoint lists or something else?
My team has been asked to move our performance review records from a legacy HR system into something within M365. Someone suggested SharePoint lists but I'm worried about permissions (employees shouldnt see each others reviews), workflow complexity, and whether it'll scale. We have about 400 employees. Is SharePoint the right tool for this or should I be looking at something purpose-built that integrates with our M365 environment?295Views1like4CommentsSharePoint Online Site Deletion blocked by Retention Policy although no content is retained
Hi everyone, I'm trying to understand whether this behavior is expected or if other organizations are experiencing the same issue. Environment SharePoint Online (Microsoft 365) Microsoft Purview Retention Policy Retention duration: 180 days Trigger: based on last modified date After retention period: Do nothing The intention of the policy is not to automatically delete content. We only want to prevent deletion for 180 days and allow deletion afterwards. Microsoft previously explained to us that retention applies to the content/items, not to the container (the SharePoint site itself). Problem We are currently unable to delete SharePoint sites. When attempting to delete a site from the SharePoint Admin Center we receive the following message: This site can't be deleted at this time because it is blocked by a compliance policy. What we already checked For the affected site: CompliancePolicyIds = empty ArchiveStatus = NotArchived SensitivityLabel = empty The Preservation Hold Library is empty: Preservation Hold Library => Items = 0 We also inspected the internal DLC properties of the site and found entries such as: dlc_sitehaspolicy dlc_sitehasexpirationpolicy dlc_webhasexpirationpolicy Even after clearing these values for testing purposes, the site still could not be deleted. Important Observation If we explicitly exclude the site from the retention policy, deletion becomes possible. This makes it appear that the retention policy is blocking deletion of the site container itself, even though our understanding was that retention should only protect retained content and not permanently prevent deletion of the entire SharePoint site. Has anyone else observed this behavior? Additional OneDrive Issue We are seeing a similar problem with unlicensed OneDrive accounts. Many of these OneDrive sites: are already archived are shown as blocked by retention/compliance cannot be deleted remain present for years For example: ArchiveStatus = FullyArchived CompliancePolicyIds = empty The accounts appear in the list of unlicensed OneDrive accounts, but we are unable to permanently remove them while the retention policy is in effect. Has anyone found a practical way to clean up or remove these orphaned/unlicensed OneDrive sites when a tenant-wide retention policy is configured? Questions Has anyone seen a situation where: CompliancePolicyIds is empty the Preservation Hold Library is empty but site deletion is still blocked by a compliance policy? Does a retention policy configured as: Retain for 180 days Then Do nothing intentionally block deletion of the entire SharePoint site container? Is it expected that excluding a site from the retention policy immediately makes deletion possible? How are other organizations handling site lifecycle management when tenant-wide retention policies are enabled? Has anyone experienced similar issues with unlicensed OneDrive accounts that cannot be deleted because of retention/compliance requirements? Any experiences, recommendations, or explanations would be greatly appreciated. Thanks!183Views0likes2CommentsRecycle Bin and Site Content Hidden for Site Members and Site Visitors
