Shift-log / Shift protocol
Hi
I'm not completly new to teams, but I'm not really deep into all the apps and posibilitys.
And I'm pretty sure that there has to be a pretty simple solution to my porblem.
Our company works in a 3 -shift pattern.
At the end of each shift, the shift manager has to write a shiftlog/ protocol , what happend during his shift.
The next shift manager has to read it, and then make his own shiftlog for the next one.
At the end of the day the general manager has to read all the logs and store them in a database.
At the moment the log is writen on a paper, which the general manager collects and scans them manually. So we are producing a lot of paper with this.
But I think there could be an easy solution within teams.
Is there a app where the shift manager could fill in a template with all the informations and which has to be confirmed by clicking on a checkbox that the next shiftmanager has read the information. And then another checkbox which has to be confirmed by the general manager?
Sounds for me like a comon thing, but I couldn't find anything helpful.
I appriciate any help!
thanks
Roland

Hi Roland_Fuchs,
Microsoft Teams can give you a more efficient solution for your shift logging and communication. You can achieve this by using a combination of Microsoft Teams, SharePoint, and Forms or Lists. If you have an access and if your company is ussing these Microsoft 365 Apps, here is what you can do:
1. Create a SharePoint Site:
- In Microsoft Teams, create a new SharePoint site dedicated to shift logs.
Create a team from scratch in Microsoft Teams - Microsoft Support
Teams and SharePoint integration - SharePoint in Microsoft 365 | Microsoft Learn2. Set Up Document Library:
- Within the SharePoint site, create a document library for storing shift logs. for storing shift logs.
Create a document library in SharePoint - Microsoft Support3. Create a Shift Log Template:
- In the same SharePoint site, create a Shift Log Template document (e.g., a Word or Excel document) that includes fields for all the required information (date, shift details, incidents, etc.).
Set a custom template for a SharePoint library - Microsoft Support4. Use Lists or Forms:
- Option A: You can create a SharePoint List with columns for each piece of information in your shift log. This allows for structured data entry.
Create a list - Microsoft Support
- Option B: Use Microsoft Forms to create a form that mirrors your shift log template. Forms are user-friendly and can be linked directly in Teams.
Create a form with Microsoft Forms - Microsoft Support5. Shift Manager Process:
- The current shift manager fills out the shift log template (either by editing a SharePoint document or entering data into a SharePoint List).
- They confirm that the next shift manager has read the information.
6. Next Shift Manager:
- The next shift manager reads the log and acknowledges it by confirming in the document or the list that they've read it.
7. General Manager Process:
- At the end of the day, the general manager reviews the shift logs in the "ShiftLogs" library and approves them.
- Approved logs are moved to the "ApprovedShiftLogs" library.
