Shift-log / Shift protocol
Hi Roland_Fuchs,
Microsoft Teams can give you a more efficient solution for your shift logging and communication. You can achieve this by using a combination of Microsoft Teams, SharePoint, and Forms or Lists. If you have an access and if your company is ussing these Microsoft 365 Apps, here is what you can do:
1. Create a SharePoint Site:
- In Microsoft Teams, create a new SharePoint site dedicated to shift logs.
Create a team from scratch in Microsoft Teams - Microsoft Support

2. Set Up Document Library:
- Within the SharePoint site, create a document library for storing shift logs. for storing shift logs.

3. Create a Shift Log Template:
- In the same SharePoint site, create a Shift Log Template document (e.g., a Word or Excel document) that includes fields for all the required information (date, shift details, incidents, etc.).
Set a custom template for a SharePoint library - Microsoft Support
4. Use Lists or Forms:
- Option A: You can create a SharePoint List with columns for each piece of information in your shift log. This allows for structured data entry.
Create a list - Microsoft Support
- Option B: Use Microsoft Forms to create a form that mirrors your shift log template. Forms are user-friendly and can be linked directly in Teams.

5. Shift Manager Process:
- The current shift manager fills out the shift log template (either by editing a SharePoint document or entering data into a SharePoint List).
- They confirm that the next shift manager has read the information.
6. Next Shift Manager:
- The next shift manager reads the log and acknowledges it by confirming in the document or the list that they've read it.
7. General Manager Process:
- At the end of the day, the general manager reviews the shift logs in the "ShiftLogs" library and approves them.
- Approved logs are moved to the "ApprovedShiftLogs" library.
