You need to have your users check out the file (so that they will be the only user making edits). When the file is checked out the other users cannot access it. When the user is finished editing, save the changes and check the file back in. This way, 1 file is shared by all and they are all accessing the same data and changes. When the file is checked back in, the next person can then proceed to checkout and make there changes.

Thanks Cathy, that's a great pointer as I didn't know you could do that but that is for using share point on line. I mean if using the file location synced to your desk top pc.
