share read-only access

About half of our employees have computers and Microsoft accounts and the other half do not—the latter are mostly our crewmembers (other than Captains). There are documents I need to share with them that get updated over time, but these crewmembers do not have access to the SALTS computer network. In the past we’ve sent such documents by email but it’s hard for crewmembers to keep track of regularly updated documents that way. I’ve just created a Team/Group/Communication Site via SharePoint in Microsoft 365 and I am trying to share read-only access to that site with our crew-members—they don’t have email addresses. I’m getting the error message “Your organization’s policies don’t allow you to share with these users. Please contact your IT department for help.” How can I give read-only access to these other ten or so crewmembers that don’t have their own computer or email address?

    I think the only way to achieve that is to generate an anonymous link with an expiration date to limit the access to contents over time: https://docs.microsoft.com/en-us/microsoft-365/solutions/best-practices-anonymous-sharing?view=o365-worldwide

     

    Note: be aware that using this approach may have security impact/breaches.
    Every person in this planet knowing the generated link can access and read the content (until the expiration date)
