Pending Documents Behaviour

I cant seem to find the info regarding pending files that were previously approved.

If a file has been changed from approved to pending, should that file in its previous approved state still be visible to users with Read access? I swear something has changed because users were not able to see files that had been changed from Approved to Pending.

Can someone confirm if this is normal behaviour?

  • joelwineti Generally speaking, a user with Read access will always see the last published document (Major version 1.0, 2.0, 3.0, etc.). If a file was previously approved (published as a major version) then they should still see the last major version if it goes into Pending state.

If they can't see the last major version, then there might be something else going on. Do you have a flow (Power Automate) running on the documents that might be removing access depending on the state of the document?

  • Hi Joel,

Approved document will be visible by all the users instead of document in pending state.
If you get anormal comportment, i suggest to have look in the approval workflow steps actions to check the configuration of the steps depending of your needs.

    Have nice day,

So, just confirming a file changed from Approved to Pending (because of a change in the document) will still be visible to users with read only access, in its previous Approved state?
