Document IDs

I've activated the Document ID service. When I right-click a document and choose 'Get link' the link generated uses the document's unique ID. This means that if the document is moved or renamed, the link still works - great!

 

However, there are two scenarious where the behavour is different:

  1. In Outlook, if I insert the same document by going to 'Attach File > Browse Web Locations > ...' the link that's inserted into my email uses the document's path. So now the link will no longer work if the file is moved or renamed.
  2. In Windows, if I right click the same document and choose 'OneDrive for Business > Copy Link' the link copied to my clipboard uses the document's path. So again, the link will no longer work if the file is moved or renamed.

Why is this the case? As it's my belief that if the Document ID service is activated, all links to a document - no matter how they're created - should use its ID.

  • Are you using SharePoint 2013 or 2016?  The experience you are describing is the way it works in SharePoint 2013, but most of that I believe is fixed if you are using SharePoint 2016 where Document IDs become Durable Links.

      Yes, it's SharePoint 2013 in SharePoint Online. I'll see if it's possible to have our tenancy upgraded to SharePoint 2016 if there are plenty of other advantages too? From memory, I wasn't able to change the experience from SharePoint 2013 to 2016 despite being a global admin but I'll have another look.
