Outlook delegate unable to drag-and-drop meetings into different calendar

Hi all,

Apologies if the subject line isn't clear, but I'm having issues with a PA's Outlook calendar and I've hit a brick wall.

Say I have Jane who is a PA for Alex.

Jane is using a Surface Pro when working at home and a Dell ultrabook when working on-site.

When Jane is at home, she can take a meeting from a shared calendar, then click and drag it into Alex's calendar and is prompted with the following box:

" To receive updates to the copied meeting, you must accept the meeting. Do you want to accept the meeting?

  • Accept the meeting
  • Tentatively accept the meeting
  • Copy the meeting"

She clicks 'Accept the meeting' and the event is added to Alex's calender without issue.

When Jane is on-site and using her Dell ultrabook and she tries to do the same thing, she will instead be presented with a window as if trying to arrange a brand-new meeting. The subject line of the meeting has 'Copy: ' in it, and it looks like all of the attendees of the 'Required' and 'Optional' attendees are listed - almost as if if she clicks 'Send' that it would invite everyone to a brand new meeting.

I've tried resetting her delegate permissions, as well as provisioning a new laptop and neither have resolved this issue.

Apologies if this has a very obvious solution.

Any assistance with this would be greatly appreciated.

Thanks for reading

    Hello,

I had a user submit a ticket with the same issue. I did some playing around with some shared calendars on my own Outlook desktop application and was able to get the prompt to re-appear by going into File -> Account Settings -> Account Settings -> Data Files -> Double-Click Data File -> Advanced -> Uncheck "Turn on shared calendar improvements" -> Restart Outlook.

I've yet to try it with the user but will once they are available, please let me know if that fix ends up working.

derricklh96   I tried this and it would not let me drag onto a conference room calendar after I applied the change.  I had to go back and "unchange" it

derricklh96  This fix worked for me with multiple users. We recently removed full mailbox access from PA's so they only have calendar access, and that broke drag and drop for calendar events. Turning off Shared Calendar Improvements and restarting Outlook resolved the issue.

  • Microsoft updated the below support article:
    https://support.microsoft.com/en-us/office/shared-calendars-updates-in-outlook-for-windows-7b856d16-840f-41cc-997d-a95dab7a6414
Copying meetings adds "Copy" prefix to subject
Previously, if an admin (delegate) copies a meeting by dragging and dropping it into the executive's (Principal's) calendar a prompt messaging requesting to accept the meeting occurs. If accepted, the executive (Principal) becomes an attendee in the meeting.

With the latest updates, when copying a meeting by dragging and dropping it into the executive's (Principal's) calendar, the prompt message does not occur and a new meeting request is created with a "Copy" prefix added to the subject. When the meeting request is sent, the executive (Principal) becomes the organizer of the meeting.

The best practice is to avoid copying meetings as per below article.
    https://support.microsoft.com/en-us/office/best-practices-for-organizations-when-using-the-outlook-calendar-d93f72d3-2361-4e0d-8d6a-5c4939c17f39?ui=en-us&rs=en-us&ad=us

This is completely bizarre. It'd be useful to have a practical suggestion for a workaround if this is indeed an intended change by the "shared calendar improvements" option as nowhere in the article is there any guidance on how *else* to accept drag meetings to other people's calendars without being forced to copy it. I'm astounded that they're simply removing a functionality used by thousands of people on a daily basis.

Has anyone heard anything more on this. I've just come across it in our org and found that it is linked to delegate access.

Our PAs have 'full-access' rights to all exec mailboxes, but only delegate access to their own direct bosses. When PA drags it into one of their bosses calendars it prompts the COPY brand new meeting invite.

If it is dragged into a mailbox to which they do not have delegate access, they get the full 'accept-tentative-copy' options.

I have made the PAs owners of all the calendars involved including the room calendars and we are still having the same problem

Just so you all know - I have logged a support ticket with Microsoft about this and I will let you know the result here.

OdoTheCat Checking in to see if you got anywhere with MS on this, got one of my exec admins asking about pretty much this same issue and very interested to hear what the heck is causing this...

I'm still talking with them - it has been escalated several times

I'll post here as soon as I have anything

We are also seeing this issue. My best guess is some client application update from MS. Any updates would be appreciated.

SamSPGS Any luck with this? I have the exact same issue, except it's a new user who can't do it without the copy and the old user gets the proper "Accept the meeting" popup

I am also having this exact issue - it seems a bit intermittent, but it is affecting a number of users and is very annoying.

I have a user who is having this same issue.

User schedules the meeting on their own calendar, drag and drop it onto the other users calendar, and it results in a copy of the invitation opening instead of just copying to the other calendar.
