@MS Teams - Late joiners unable to see PowerPoint presentation

Hello, Today we had a Teams meeting and around 125 participants joined this meeting whoever joined this meeting late was unable to see the PowerPoint presentation but whoever joined from the beginning they all can see the PowerPoint slides. has anyone faced a similar issue? PowerPoint slides were running from the desktop version and not from the PowerPoint Live. Are there any recent changes made by Microsoft?

The other issue was when I click on the presenter's window it suppose to be maximized but now this is not happening anymore.

  • Hi njh81,

If participants who joined a Teams meeting late are unable to see the PowerPoint presentation while those who joined from the beginning can, there are a few steps you can take to address this issue:

    1. Share PowerPoint as a file: Instead of sharing the PowerPoint presentation directly from within the Teams meeting, try sharing it as a file. This ensures that all participants have access to the presentation, regardless of when they joined the meeting. To do this, click on the "Share" button in the Teams meeting controls, select "Browse" or "Share File," and locate the PowerPoint file on your computer. Share it with participants, and they can open and view it on their own.

    2. Enable "Do not switch slides" option: When sharing the PowerPoint presentation, ensure that the "Do not switch slides" option is enabled. This prevents the slides from automatically changing based on the presenter's view. With this option enabled, late joiners will be able to see the slides from the beginning and navigate through them at their own pace. To enable this option, click on the "Share" button in the Teams meeting controls, select the PowerPoint presentation, and check the box for "Do not switch slides."

    3. Share the screen instead: Instead of sharing the PowerPoint presentation directly, you can try sharing your screen and displaying the PowerPoint in Slide Show mode. This way, all participants, including those who join late, will be able to see the slides as you navigate through them. To share your screen, click on the "Share" button in the Teams meeting controls, select "Desktop" or "Screen," and choose the PowerPoint window to share.

    4. Check participant permissions: Ensure that all participants have the necessary permissions to view shared content in the meeting. By default, participants should have the ability to view shared screens and files. However, if any specific settings or permissions have been configured by the meeting organizer or your organization's Teams admin, it's important to check if these settings may be causing the issue. Contact your admin or organizer to verify the participant permissions.

    5. Verify PowerPoint compatibility: Check the compatibility of the PowerPoint file you're sharing. Ensure that the file format and version are supported by the Teams meeting. Saving the PowerPoint presentation in a compatible format, such as PPTX, and using the latest version of PowerPoint can help mitigate compatibility issues.

    6. Test with a small group: Before hosting a large meeting with a significant number of participants, it's a good idea to conduct a test run with a small group. Invite a few colleagues or friends to join a test meeting, share the PowerPoint presentation, and observe if everyone can see the slides correctly. This can help you identify and resolve any issues before the actual meeting.
