Which tool for organizing workflows in teams, optional with reminders
Hi there,
this is my first thread - so i hope it is at the right place.. :-) I was searching for a workflow solution and found already this discussion: https://techcommunity.microsoft.com/t5/PowerApps-Flow/SharePoint-Workflow-or-Microsoft-Flow/m-p/97982#M511
I think there is something already available in Flow, but it seems to me too much focused on individuals then on teams and too much on pushing info (emails, twitters) instead of serving it on a stack. So with the given scenario below, how would you solve it / recommend it to solve?
Scenario (Example):
There are 5 groups of people: Group 1 to 4 and the supervisors group. (technically it would be AD groups). These groups have jobs (processes) to do that are listed in a common checklist per job type: Lets say group 1 has to initiate / create the job, group 2 and 3 have to to something from the checklist sequentially (only when 2 is ready, 3 can start) and group 4 has also something to do, but independent from 2 and 3.
The supervisors group has to be able to see in what state is which job (over all jobs, without the need of opening every single checklist) and the group members should see somewhere what they have to do at the moment from a "stack", also without the need to open every single checklist.
Example is the onboarding of a new employee: HR starts with recruiting, then he needs to get credentials from IT and maybe an office key, has to sign something etc. Head of HR would like to have an overview (if some group is to small to make it in time..) and lets say IT wants to get easy info, which credentials (for what new employees) are yet to do (what is on the stack at the moment) etc etc.
I found some aspects of it in MS Flow, but I missed especially a “handle” for a job / process for groups (for single users, single Emails it was all there – but organizing individual replacements is difficult then). Maybe there are some recommendations of MS. And I want to prevent lots and lots of notification emails “a new thing for XYZ is to do”, but instead a “stack” like described above, that can be checked and processed by the groups (pull instead of push this information, at least for some) – that is also already present somehow at Flow in “my flows”.
Finally, i would like to generate general rules for reminders like "if a process is running, but status was not changed for n days, send a reminder to the team, that has it on the stack".
Sounds very common organizational stuff to me - i wonder that so few ask for it (and maybe not true) - maybe they still do paper or excel checklists.. ?
