Update calendar invite without sending 'meeting has been updated message' to attendees
- Jan 11, 2022
ssoutrs Hi, if using Outlook on the web the updates won't be sent to all attendees as it has a built-in behavior when it comes to these notifications
Send updates options for attendees not shown - Exchange | Microsoft Docs
If using the Outlook client she should save the updated info (File - Save) and not use "Send update" button. If adding/deleting someone in the invite make sure to select the proper option at the prompt.

What you suggest does not work for Outlook Calendar (web or application) on MacBook Pro or iPhone. Could you please suggest a functioning solution. ChristianJBergstrom Thanks.

When I edit calendar invites, instead of saving or updating, I simple click the 'X' to close out of the window.
This prompt comes up:
Then I choose 'save changes but don't send'. This way I can update my bosses calendars with the info they like to see, without sending it to everyone else.
I am still able to do this with the updates, so hopefully it works!

deere745 Did the changes save to other people's calendars?
- MrProductivityJul 28, 2023Copper ContributorYup, Welcome to the "You'll get what you get and don't get upset" philosophy of downgrading everyone from a fully functional client to a half baked web app, regardless of business workflows that depend on productivity. I have found a LOT of things no longer possible in the new webapp upgrade.

MrProductivity- so much agree! INTERESTINGLY, the Office 365 Outlook webapp allows you to DUPLICATE a Meeting! Whereas the Client version does not... Such an interesting methodology for software development.

I am unable to update an Outlook meeting invite invitation on my macbookpro without the invitation being sent to every participant. I would like to be able to update a meeting invite and not have to send it to anyone. I have tried on my iPhone, MacBook Pro and using the web based version of Outlook. The instructions provided do not work, see attachment. ChristianJBergstrom
- Krusty_the_adminMay 24, 2023Copper ContributorThanks for the link!
- AmelieJApr 11, 2023Copper ContributorI am just updating the notes / description of the meeting (not attendees). Essentially I am editing an agenda for the meeting, so I don't need to update every attendee for each edit I make. When following (File > Save) I only get the option to Send the update or Delete changes + Close.
To complicate matters, I am in the "New Outlook" so I don't have the option that YumiZaz shared re Quick Access Toolbar.
SURELY Microsoft must be able to resolve this for everyones benefit... Grateful to anyone with a potential workaround.- MrProductivityJul 11, 2023Copper Contributor
Take off all cached options and it should restore the ability to save a calendar event without triggering the send all after a restart.

Thanks for you reply, but I don't see that option?
Not only am I a Mac user, I'm also on the 'New Outlook' client. Seems like all these options in the thread don't apply to me, which seems bizarre. Confirmed from a quick Google; 'Outlook 365 for Mac does not have the option to enable Offline cached mode.'
Does anyone here have experience with Outlook for Mac?
- Lee_SpenceApr 11, 2023Copper ContributorBut what if you only have the options to "Save changes and send an update" OR "Don't save. Continue editing"?

Sorry I realise this is an old thread, but I was searching for a solution to not sending an update to all attendees when adding/changing location or making small edits to the invite body in Outlook.
When you use the "file / save" as you recommend, it only updates the invite in my calendar and not in the attendees calendars. It only saves it as a draft and I am forced to thereafter click "send update" anyway, which notifies all attendees 😞
I was used to working with Google calendar and it has great functionality for efficient calendar management. I just can't believe this isn't possible in Outlook!
- KCMurphyFeb 23, 2023Brass ContributorThis is not correct. This dialogue box does not appear when adding attendees to an existing recurring meeting, and everyone already on the invite list is spammed, every time it is adjusted.

ChristianJBergstrom When I press the save button, the only options it gives are in the screenshot below.
And it says that the update will be sent to "about 28 people." This needs to be fixed in Outlook. I used to be able to send an invite to just one person for an event without having to update every single attendee.

Microsoft
if you hit okay, you will then see another pop-up which ask if you would like to send updates to only added or deleted attendees. Hope this helps- KCMurphyJul 11, 2023Brass Contributor
WinfredKwabla , unfortunately, no such pop-up with those options pops-up.
Is there a version/OS/platform where this unicorn pop-up might exist? It has been offered as an answer to this issue in posts on this question for the past 20 years, but I have yet to see this pop-up.

I have this same issue, as I am sure do tens of thousands of MS Outlook users. I have a team of people that have to re-accept every time we need to adjust one small element of a meeting. SUPER frustrating.
You are not alone.

Hej krisknight
I found the solution - see pic:
But then the outlook download mail history and get a bit slower - trying to find a solution to that right now.

- TrishS66Sep 15, 2022Brass Contributorunfortunately this functionality DOES NOT work IF the meeting is created within a Channel in Teams,
the person who created the meeting is no longer considered to be the organiser when a meeting is set to be held in a teams channel
and there is no way that i can find that this can be changed
would love if someone as the answer though
