Request for ex-employee's mailbox

Hi,

 

For ex-employee, we want to keep their mailboxes, but the sender receives bounce back message like that this recipient no longer exists. 

 

I tried a few things, but none of them works.

 

1. Disable the user in AD, remove Office 365 license and convert it to shared mailbox. - Keep receiving new emails and the Sender don't get bounce message.

 

2. Disable the user in AD, remove Office 365 license, convert it to shared mailbox, change email address and user name. - Mailbox not receiving emails anymore, but sender still not receive bounce message.

 

We want the sender to know this email address is no longer available. How can we approach it?

 

Please advise!

  • Put an Out of Office response on the mailbox before converting it to a shared mailbox is how we approach it. An auto response tool with loop protection would be ideal but with 365 we can't do that anymore, or at least not last time I checked, so we just stuck with the standard Out of Office message.

      Thank you for your reply. It looks like OOO message is the only way to approach it.
