Exchange online disclaimer - Use disclaimer of other user

We've created a simple disclaimer like this:

 

Comany

Name

Role

Phone

Mobile

Fax

 

So, obvious, every user has it's own disclaimer. So far so good.

Now we have e few secretary's that maintain mailboxes from other users (full permission). So when they send a mail for another user the disclaimer of that user has to be in the mail.

 

Example:

Mary has full access to the mailbox of Peter. She sends a mail out from Peter. The disclaimer has to be Peter's. She's working in her personal Outlook (2016) with the full access to Peter's.

 

We cannot figure out how to achieve this.

  • Dear Mike, that is what I meant - this is only possible with 4rd party. So for example you can push signatures to the Outlook clients with a 3rd party tool and let Exchange only attach the legal disclaimer. Or do everything by your 3rd party tool - this choice is up to your IT.

    Without knowing all of the details of your situation, what about multiple signatures that can be selected by the secretary?

      Yes, that is exactly what we need. But we want to manage from the IT department. If possible from O365.

    I know this request from some of my customers but unfortunately I don't know a built-in mechanism to achieve that. I usually realize this request with 3rd party products.

    Is it really necessary to have the disclaimers personalized? I would think that most companies would want this to be consistent for all of their employees. The employees are typically sending something on behalf of the organization and the disclaimer is something that the Company is concerned about (not the individual)
