Print/export private offer & terms to a PDF for customer's offline processes?
- May 22, 2026
Hi ph_richardson - thanks for checking in on this, this capability is indeed available!
To do this:
- Customer clicks the Download PDF button on the top right corner of offer page.
- Customer chooses whether to include attachments (default: yes).
- PDF is downloaded and can be accessed via the browser.
- Customer shares the read-only PDF internally for approvals.

v-kylecallahan and justinroyal amnd JillArmourMicrosoft - I believe there has been some movement on this item and a feature available in Marketplace for customers to export/download the offer in PDF so they can use for their various internal offline review processes - before then proceeding with completing the accept and purchase via Marketplace as normal.
I believe the is referred to as the "Private Offer PDF for Approvals capability", or "Feature: Private Offer Improvements-PDF Download" and is apparently live now?
- I have a customer asking about this now, as their enterprise procurement, finance, and legal teams require formal documentation for internal approvals and those teams do not have access to the Marketplace portal directly and nor do they want it.
Would you be able to please provide a link to documentation, video, or screenshots that shows the end-customer's view of navigating to this new feature and exporting/downloading the PDF please?

Thanks justinroyal - the bullets of guidance you have provided is helpful.
An observation, this is not described/summarised in the 'Step 2' Lead doc link you shared and nor are there any screenshots of it in that doc - so the link is not ideal to direct customers to if/where I'm trying to explain to the about the 'download PDF' function specifically.
Further, from recent feedback from a customer, the button in 'View + accept' is misleading. They felt/assumed is was going to actually accept the offer before they had viewed, and their feedback is that it would be better if the button was just 'View'... once they are in the viewing pane/page they can see the offer and details and so and then they see hte tick-box to agree to terms and the 'Accept' button (as they already do).
