Shared Mailbox - Issue with FROM and SIGNATURES
Greetings all,
Working with some people and looking at the best way to handle their shared mailbox needs since moving to Exchange Online - few users - approx 5 shared mailboxes.
The two issues they have are:
- when composing a new email they have to select the shared mailbox in FROM (what if they forget to do that and it appears to come from their mailbox)
- email signature - they want that signature automatically added...and it's picking up their signature...
I have seen these concerns everywhere....if they were comfortable with using Outlook on the web how easy this would be - it would take care of those issues above - a shared mailbox in a separate tab - works great! But...they would prefer to do all in Outlook on the desktop...I get it!
For the signature side of things....read about doing a transport rule to add that signature to those outgoing emails...but...their signature still gets in there...
Tested created a M365 group instead...don't think that's going to work...
Any other suggestions you might have would be great!
Or...if they decided to handle this with just a distribution list there is the issue of where to keep those emails in a central location?
Would love to see how others are handling this and if there are nifty tricks out there!

- The analog experience of opening the shared mailbox in another tab is to configure is additional account in Outlook, via the File > Add account menu. You must have Full access permissions on the shared mailbox, and you must enter your own credentials when prompted. Other than that, the process is the same as adding any other account, and the benefit is that it will expose all the "regular" features you can use with such in Outlook, such as being able to configure signatures, rules, OOO, auto-populate the reply address and so on.

Bonjour,
je souhaite mettre en place une signature de mail automatique pour tous les agents de mon organisation.
J’ai réussi et cela fonctionne lors d’un 1er mail envoyé cependant cette signature se met systématiquement en bas de page lors d’un fil de mail. Cela a pour effet de les cumuler les uns sous les autres en bas de page à chaque réponse.
La signature devrait apparaître dans la section de mail de l’expéditeur en pied de chaque mail mais pas du fil complet.
j’espère que mes explications sont claires.
