As organizations continue to navigate increasingly complex compliance and legal landscapes, Microsoft Purview eDiscovery is adapting to address these challenges. New and upcoming enhancements will improve how legal and compliance teams manage cases, streamline workflows, and reduce operational friction. Here’s a look at some newly released features and some others that are coming soon. Enhanced Reporting in Modern eDiscovery The modern eDiscovery experience now offers comprehensive reporting capabilities that capture every action taken within a case. This creates an auditable record of actions, enabling users to manage case activities confidently and accurately. These enhancements are critical for defensibility and audit readiness, and they also help users better understand the outcomes of their searches based on the options and settings they selected. Recent improvements include: Compliance boundary visibility: The Summary.csv report now includes the compliance boundary settings that were applied to the search query. This helps clarify search results, especially when different users have varying access permissions across data locations. Decryption settings: Visibility has been added to the Settings.csv report to indicate if a specific process has Exchange or SharePoint decryption capabilities enabled. This ensures users can verify whether encrypted content can be successfully decrypted during the process of adding to a review set or export. Visibility into Premium feature usage: There is a new value in the Settings.csv report that indicates whether Premium features were enabled for the process. Improved clarity: The Items.csv report now includes an "Added by" column to understand how the item was identified. This column shows if items were included by direct search (IndexedQuery), partial indexing (UnindexedQuery), or advanced indexing (AdvancedIndex). Contextual information: The Summary.csv report helps users understand their exported data by providing contextual explanations. For instance, it explains how the volume of exported data may be greater than the search estimate due to factors such as cloud attachments or multiple versions of SharePoint documents. Copy Search to Hold: Reuse with Confidence Another commonly requested feature that is now available is the ability to create a hold from a search. If your workflow starts with searches before creating holds, you can use the new, “Create a hold” button to create a new hold policy based on that search. Depending on your workflow, it can be effective to start off with a broad, high-level search across the entire data source to quickly surface potentially relevant content and gauge the approximate amount of data that may need review. For example, in a litigation scenario, you may want to search across the entire mailbox and OneDrive of custodians that are of interest. Once the preservation obligation is triggered, this new feature easily allows you to copy your search and create a hold to preserve the content, streamlining your workflow and enhancing efficiency. Whether you begin with a highly targeted search or something broader, this feature reduces duplication of effort and ensures consistency across processes when you want to turn an existing search into a hold. Retry Failed Locations: Easily Address Processing Issues Searches can occasionally encounter issues due to temporarily inaccessible locations. The new “Retry failed locations” feature introduces a simple, automated way to reprocess those issues without restarting the entire job. When you retry the failed locations, the results will be aggregated with the original job to provide a comprehensive overview. This feature is particularly beneficial for administrators, allowing them to efficiently retry the search while ensuring continuity in their workflow. Duplicate Search: Consistency Made Easy Save time and reduce rework by duplicating an existing search with just a few mouse clicks. Whether you're building on a previous query or rerunning it with slight adjustments, this new feature lets you preserve all original parameters, such as conditions, data sources, and locations, so you can move faster with confidence and consistency. Administrators and users simply click the “Duplicate search” button while on an existing search and then rename it. Case-Level Data Source Management: The New Data Sources Tab We recently introduced a new case-level Data Sources view in Purview eDiscovery, allowing data sources to be reused in searches and holds within a case. This enhancement allows case administrators to map and manage all relevant data locations, including mailboxes, SharePoint sites, Teams channels, and more, directly within a case. Once data sources have been added, it greatly simplifies the process of creating searches. Adding data sources within the Data Sources tab enables administrators to select from a list of previously added sources when creating new searches, rather than searching for them each time. This feature is especially useful for frequent searches across the same data sources, which happens often within eDiscovery. With this feature, users can: Visualize all data sources tied to a case. Use data source locations to populate searches and eDiscovery hold policies. Simplify the search creation process for administrators and users. This new functionality empowers teams to make more informed decisions about what to preserve, search, and review. Delete Searches and Search Exports: Keep Your Case Well Organized A newly released feature is one that helps you remove outdated or redundant searches from a case, helping keep the workspace clean and focused. With just a few clicks, you can delete searches that are no longer relevant, helping you stay focused on what matters most without extra clutter. Whether you're tidying up after a project or clearing out test runs, deletion helps keep you organized. hot showing how to delete a search. Another new feature enables users to delete search exports. This functionality is intended to assist with the management of case data and to remove unnecessary or outdated search exports, including sensitive information that is no longer required. Condition Builder Enhancements for Logical Operators (AND, OR, NEAR) The Condition Builder now supports logical operators—AND, OR, and NEAR—all within the same line, or grid. These enhancements empower users to construct more targeted search conditions and offer increased control over the use of phrases, enabling additional options over how terms are combined and matched, and proving greater flexibility to keyword queries. Tenant level control over Premium Features An upcoming enhancement will introduce a tenant-level setting to allow organizations to set the default behavior for new case creation and whether to use Premium features by default. This will provide greater flexibility and control, especially for customers that are in a mixed-license environment. Export Naming and Controlling Size of Exports A couple more upcoming enhancements are intended to give users more control and additional options over the export process, increasing flexibility for legal and compliance teams. First, export packages will include the user-defined export name directly in the download package. This small but impactful change simplifies tracking and association of exported data with specific cases. This is especially useful when managing multiple exports across different cases. Second, a new configuration setting will allow administrators to define a maximum export package size. This gives teams greater control over how data is partitioned, helping to optimize performance and reduce the risk of download issues or browser timeouts during large exports. Hi everyone! I have come across a requirement where the client would like to use an excel spreadsheet, a service account and application registration to manage group membership for a confidential group. They would like to create a group from which the members cannot leave, see other team members and cannot see the group itself. Now, I have the concept of the flow with me but for the life of me, I cannot get around to finding/configuring a group that meets the requirement. Have you guys come across this sort of scenario? We are in the process of enabling Microsoft purview MIP DLP for a large-scale enterprise, and there is a requirement to push MIP DLP related alerts, incidents and data to Splunk SIEM. Could not find any specific documentation for the same. researched on this and found below solutions however not sure which could work to fit in our requirement: Splunk add on for Microsoft security is available: The Splunk Add-on for Microsoft Security is now available - Microsoft Community Hub but this does not talk about Purview DLP logs. This add-on is available for Splunk but only says MIP can be integrated however does not talk about DLP logs: https://splunkbase.splunk.com/app/4564 As per few articles we can also ingest Defender logs to Azure event hub then event hub can be connected to splunk. Above mentioned steps do not explain much about Ingestion of MIP DLP raw data or incidents. Hello! We have enabled Sensitivity Labels in our tenant. The access control settings for the label states that a specific domain gets the permission "Co-Author". When we enable the Sensitivity label on a document and sent it towards the approved domain, it results in an error message when authenticating to open the document: "Selected user account does not exist in tenant 'Veni AS' and cannot access the application in that tenant. The account needs to be added as an external user in the tenant first. Please use a different account." After doing some research I did some changes to the external domain within the Cross-tenant settings. The external domain now has the following settings: Inbound access: Allow access on external users and groups, within B2B Collaboration Allow access on external users and groups, within B2B direct connect Trust multifactor authentication from Microsoft Entra tenants, within Trust settings. Outbound access: Allow access on users and groups, within B2B Collaboration Allow access on users and groups, within B2B direct connect External Identities: Block access for external users and groups. (Inherited from default) After doing this change, I no longer get the same error message as above when authenticating to open the labeled document. Now I get the following error message: "You are not signed in to office with an account that has permission to open this document. You may sign in a new account into Office that has permission or request permission from the content owner" I have this working from another tenant to the same external domain and I have cross-checked the settings. Any idea on how to proceed, or if it is any obvious change I need to make in order to get this to work? Discover potential data security risks in Microsoft 365 Copilot interactions In the Overview tab of DSPM for AI, start with the tasks in “Get Started” and Activate Purview Audit if you have not yet activated it in your tenant to get insights into user interactions with Microsoft Copilot experiences In the Recommendations tab, review the recommendations that are under “Not Started”. Create the following data discovery policy to discover sensitive information in AI interactions by clicking into it. Detect risky interactions in AI apps - This public preview Purview Insider Risk Management policy helps calculate user risk by detecting risky prompts and responses in Microsoft 365 Copilot experiences. With the policies to discover sensitive information in Microsoft Copilot experiences in place, head back to the Reports tab of DSPM for AI to discover any AI interactions that may be risky, with the option to filter to Microsoft Copilot Experiences, and review the following for Microsoft Copilot experiences: Total interactions over time (Microsoft Copilot) Sensitive interactions per AI app Top unethical AI interactions Top sensitivity labels references in Microsoft 365 Copilot Insider Risk severity Insider risk severity per AI app Potential risky AI usage Protect sensitive data in Microsoft 365 Copilot interactions From the Reports tab, click on “View details” for each of the report graphs to view detailed activities in the Activity Explorer. Using available filters, filter the results to view activities from Microsoft Copilot experiences based on different Activity type, AI app category and App type, Scope, which support administrative units for DSPM for AI, and more. Then drill down to each activity to view details including the capability to view prompts and response with the right permissions. To protect the sensitive data in interactions for Microsoft 365 Copilot, review the Not Started policies in the Recommendations tab and create these policies: Information Protection Policy for Sensitivity Labels - This option creates default sensitivity labels and sensitivity label policies. If you've already configured sensitivity labels and their policies, this configuration is skipped. Protect sensitive data referenced in Microsoft 365 Copilot - This guides you through the process of creating a Purview Data Loss Prevention (DLP) policy to restrict the processing of content with specific sensitivity labels in Copilot interactions. Protect sensitive data referenced in Copilot responses - Sensitivity labels help protect files by controlling user access to data. Microsoft 365 Copilot honors sensitivity labels on files and only shows users files they already have access to in prompts and responses. Use Copilot to improve your data security posture - Data Security Posture Management combines deep insights with Security Copilot capabilities to help you identify and address security risks in your org. Once you have created policies from the Recommendations tab, you can go to the Policies tab to review and manage all the policies you have created across your organization to discover and safeguard AI activity in one centralized place, as well as edit the policies or investigate alerts associated with those policies in solution. Note that additional policies not from the Recommendations tab will also appear in the Policies tab when DSPM for AI identifies them as policies to Secure and govern all AI apps. Govern the prompts and responses in Microsoft 365 Copilot interactions Understand and comply with AI regulations by selecting “Guided assistance to AI regulations” in the Recommendations tab and walking through the “Actions to take”. From the Recommendations tab, create a Control unethical behavior in AI Purview Communications Compliance policy to detect sensitive information in prompts and responses and address potentially unethical behavior in Microsoft Copilot experiences and ChatGPT for Enterprise. This policy covers all users and groups in your organization. To retain and/or delete Microsoft 365 Copilot prompts and responses, setup a Data Lifecycle policy by navigating to Microsoft Purview Data Lifecycle Management and find Retention Policies under the Policies header. You can also preserve, collect, analyze, review, and export Microsoft 365 Copilot interactions by creating an eDiscovery case. 2. Securing Enterprise AI apps Please refer to this amazing blog on Unlocking the Power of Microsoft Purview for ChatGPT Enterprise | Microsoft Community Hub for detailed information on how to integrate with ChatGPT for enterprise, the Purview solutions it currently supports through Purview Communication Compliance, Insider Risk Management, eDiscovery, and Data Lifecycle Management. Learn more about the feature also through our public documentation. 3. Securing other AI Microsoft Purview DSPM for AI currently supports the following list of AI sites. Be sure to also check out our blog on the new Microsoft Purview data security controls for the browser & network to secure other AI apps. Discover potential data security risks in prompts sent to other AI apps In the Overview tab of DSPM for AI, go through these three steps in “Get Started” to discover potential data security risk in other AI interactions: Install Microsoft Purview browser extension For Windows users: The Purview extension is not necessary for the enforcement of data loss prevention on the Edge browser but required for Chrome to detect sensitive info pasted or uploaded to AI sites. The extension is also required to detect browsing to other AI sites through an Insider Risk Management policy for both Edge and Chrome browser. Therefore, Purview browser extension is required for both Edge and Chrome in Windows. For MacOS users: The Purview extension is not necessary for the enforcement of data loss prevention on macOS devices, and currently, browsing to other AI sites through Purview Insider Risk Management is not supported on MacOS, therefore, no Purview browser extension is required for MacOS. Extend your insights for data discovery – this one-click collection policy will setup three separate Purview detection policies for other AI apps: Detect sensitive info shared in AI prompts in Edge – a Purview collection policy that detects prompts sent to ChatGPT consumer, Micrsoft Copilot, DeepSeek, and Google Gemini in Microsoft Edge and discovers sensitive information shared in prompt contents. This policy covers all users and groups in your organization in audit mode only. Detect when users visit AI sites – a Purview Insider Risk Management policy that detects when users use a browser to visit AI sites. Detect sensitive info pasted or uploaded to AI sites – a Purview Endpoint Data loss prevention (eDLP) policy that discovers sensitive content pasted or uploaded in Microsoft Edge, Chrome, and Firefox to AI sites. This policy covers all users and groups in your org in audit mode only. With the policies to discover sensitive information in other AI apps in place, head back to the Reports tab of DSPM for AI to discover any AI interactions that may be risky, with the option to filter by Other AI Apps, and review the following for other AI apps: Total interactions over time (other AI apps) Total visits (other AI apps) Sensitive interactions per AI app Insider Risk severity Insider risk severity per AI app Protect sensitive info shared with other AI apps From the Reports tab, click on “View details” for each of the report graphs to view detailed activities in the Activity Explorer. Using available filters, filter the results to view activities based on different Activity type, AI app category and App type, Scope, which support administrative units for DSPM for AI, and more. To protect the sensitive data in interactions for other AI apps, review the Not Started policies in the Recommendations tab and create these policies: Fortify your data security – This will create three policies to manage your data security risks with other AI apps: 1) Block elevated risk users from pasting or uploading sensitive info on AI sites – this will create a Microsoft Purview endpoint data loss prevention (eDLP) policy that uses adaptive protection to give a warn-with-override to elevated risk users attempting to paste or upload sensitive information to other AI apps in Edge, Chrome, and Firefox. This policy covers all users and groups in your org in test mode. Learn more about adaptive protection in Data loss prevention. 2) Block elevated risk users from submitting prompts to AI apps in Microsoft Edge – this will create a Microsoft Purview browser data loss prevention (DLP) policy, and using adaptive protection, this policy will block elevated, moderate, and minor risk users attempting to put information in other AI apps using Microsoft Edge. This integration is built-in to Microsoft Edge. Learn more about adaptive protection in Data loss prevention. 3) Block sensitive info from being sent to AI apps in Microsoft Edge - this will create a Microsoft Purview browser data loss prevention (DLP) policy to detect inline for a selection of common sensitive information types and blocks prompts being sent to AI apps while using Microsoft Edge. This integration is built-in to Microsoft Edge. Once you have created policies from the Recommendations tab, you can go to the Policies tab to review and manage all the policies you have created across your organization to discover and safeguard AI activity in one centralized place, as well as edit the policies or investigate alerts associated with those policies in solution. Note that additional policies not from the Recommendations tab will also appear in the Policies tab when DSPM for AI identifies them as policies to Secure and govern all AI apps. Conclusion Microsoft Purview DSPM for AI can help you discover, protect, and govern the interactions from AI applications in Microsoft Copilot experiences, Enterprise AI apps, and other AI apps. We recommend you review the Reports in DSPM for AI routinely to discover any new interactions that may be of concern, and to create policies to secure and govern those interactions as necessary.
