Reoccurring & Individual Events in Outlook Calendar

 

I have numerous different groups that reoccur every week, same time.  I have input all off them on our shared Outlook calendar.

However, here is an email I received from my boss, asking to make them all individual instead, with reasons why:

 

Why I asked for individual groups is because I use the coverage calendar to track how I covered things and justify FTE during budget time. If groups are entered as reoccurring, any changes to the reoccurring appointment auto changes all meetings in the calendar erasing everything that was done throughout the year.  Also, when listed as reoccurring, any change of color, changes the entire series which is not helpful in quickly identifying GAPS and increases the chances of uncovered groups going unnoticed.

 

Does anyone have any suggestions on how I can do this without creating an individual event all the time?

  • No, you must use Classic Outlook if you want to import csv-files for appointments or otherwise use the ics-format.

    However, note that New Outlook and Outlook on the Web have the option "Edit this and all following event" for recurring meetings. This will keep the history of the recurring meeting.

    Classic Outlook doesn't have this feature and will indeed reset the entire series when editing the recurring meeting.

    So I made an excel document and saved it as 'csv' into the classic outlook. Apparently, new outlook doesn't accept 'csv' documents to be imported.  Something is wrong with my format though, because it didnt take:

     

    Subject Start Date Start Time End Date End Time All Day Event

    OPEN-HRC RT 5/7/2026 8:00 AM 5/7/2026 9:00 AM FALSE

    OPEN-HRC RT 5/14/2026 8:00 AM 5/14/2026 9:00 AM FALSE

    In Microsoft Outlook there’s no automatic way to turn recurring events into separate ones. You’ll have to copy them into individual appointments, no fully automatic shortcut unfortunately.
