share an Excel 365 workbook I Office 365

Copper Contributor

I would like to share an Excel 365 workbook. Unfortunately, the other person can only edit the data in the browser and cannot download the spreadsheet and use it in the desktop version. We both work in different organizations but want to work on the spreadsheet together and at the same time.

When you want to collaborate on an Excel workbook in real-time with someone from a different organization and have them edit the data in the browser without downloading the spreadsheet, you can use Microsoft's online collaboration features.

Here is how you can achieve this using Office 365 (Excel Online) and Excel 365:

  1. Store the Workbook in OneDrive or SharePoint:
    • Save the Excel workbook in either your OneDrive or SharePoint, depending on your organization's setup.
  2. Share the Workbook:
    • Open the Excel workbook in Excel 365 (the desktop version).
    • Click on the "File" tab in the ribbon.
    • Select "Share."
    • In the sharing settings, set the sharing permissions to "Anyone with the link can edit" or "Anyone with the link can view and edit" depending on the level of access you want to grant.
  3. Generate a Sharing Link:
    • Click on "Copy Link" to generate a sharing link.
    • Send this link to the person you want to collaborate with.
  4. Collaboration in Excel Online:
    • The person you shared the link with should open the link in a web browser. They will be able to edit the workbook using Excel Online, which allows real-time collaboration.
    • Changes made by both of you will be automatically synchronized, and you can see each other's edits in real-time.
  5. Accessing Excel Desktop (Optional):
    • If the other person wants to open the workbook in Excel 365 (the desktop version), they can do so by clicking on "Open in Excel" within the Excel Online interface.

By following these steps, you can collaborate on the same Excel workbook in real-time, with one person using Excel Online in the browser and the other person using Excel 365 (the desktop version). The workbook will remain in the cloud storage location (OneDrive or SharePoint) and can be edited by both parties simultaneously. The text was created with the help of AI.

Hope this will help you.

Thank you very much for your help. Point 5 unfortunately does not work.
