Mail Merge malfunction
Using Word Mail Merge for Envelopes for UK/EU/World addresses with some Fields having blank entries. Address format is as this:
«Title» «First_Name» «Last_Name» «Suffix» «Home_Address_Street» «StreetSecond» «Home_Address_City» «Home_Address_Postal_Code» «Home_Address_County» «Home_Address_CountryRegion» «Next Record» |
When I Preview all the addresses in the Recipients List they are there BUT when I go to Finish & Merge to a new document for Edit Review suddenly addresses are being skipped -randomly?
Can anyone offer any clues or suggestions on how to overcome this please.
I had tried to set a Rule to avoid CountryRegion printing the home UK line but it failed to function. Instead I deleted all the UK country lines

To deal with the UK issue, use the following field construction
{IF {MERGEFIELD Country} = "United Kingdom" "" {MERGEFIELD Country}}
You must use CTRL+F9 to insert each pair of field delimiters { } and use ALT+F9 to toggle of the display of the field codes.
When you execute the merge, it will automatically index through the records WITHOUT needing the Next Record field.

doesnt work for me. No Mergefield function
tried the skip record if, but not that either. Word365 offline.
Use If...then...Else field constructions to control the layout of the address.
However, I think that your real problem is the inclusion of the «Next Record» field that will result in every other address being skipped.

Thanks Doug. Yes I struggled with if -then and with rules to try to control appearance all to no avail. The MS full-name and address blocks just dont cope with how I need to assemble my printing address. Cant even manage to omit UK when the country field has United Kingdom (as per Outlook Contact) in the address.
Preview work just fine with Next Record - what else would signal moving to next address? It is just actual finish MM to the envelopes that causes the problem. I fancy it really isn't me.
